An excellent opportunity has arisen to join a world leading global organisation, our client Unilever are currently looking for a Personal Assistant Media Director UK & Ireland based at Unilever's prestigious facility in Leatherhead. This is a part time temporary role for a period of 3 months initially, working an 18 hour week. This role is paying up to £29K FTE per annum. pro rata, depending on experience. (£12K - £13920 per annum for 18 hours depending on experience))

This role is a part time role for 18 hours week spread over 4 or 5 days. Interviews will take place on 23rd January and candidates must be able to start immediately.


* Main Job Purpose
To provide a pro-active and high-level assistance in a busy and demanding environment ensuring a consistently top level of service.

Key Responsibilities
* Diary management - booking regular meetings eg: 1to1s and one off meetings, group meetings co-ordinating diaries of a number of participants. Managing diary clashes.
* Travel Management (simple & complex route planning), including car, air and hotel bookings / cost management / on line check in (sometimes required at weekend)
* Organising of international itineraries for country visits and conferences in conjunction with key stakeholders
* Basic Inbox monitoring
* Meeting management - find date/block diaries/ invite attendees/ drafting agendas, collecting and circulating pre-reads, set up meeting room/lync meeting (including uploading ppt) / call, arrange lunch, announce guests to reception, print pre reads, arrange cars if needed, support during meeting)
* Budget management - manage some department budget lines (eg: T&E)
* Connection into IT support for VP when needed to resolve issues- phones, laptop etc
* Systems: GTES/ARIBA/DCIW/CROWN/UMOVE/IT REQUEST TOOL
* Another other tasks that can be reasonably requested around logistics, admin etc


Key Experience

This role requires proven experience as a Personal Assistant or top level secretary and preferably experience working in a regional or global organisation as this role requires a high level of discretion and confidentiality.

Excellent written and oral communication skills, plus experience in managing office processes and where necessary, developing new approaches to meeting changing needs.

Critically, the jobholder must be well organised, able to prioritise tasks of high complexity and have the ability to build relationships with an international network and key stakeholders across different levels in and out of the organisation.

Key Skills

* Advanced knowledge of Outlook

* Good organisational and time management skills with the ability to prioritise workload and multi-task
