Job Description

* Provide expert usage of tools such as Procure to Pay (P2P), Windchill, Sub-Contractor Time Recording Application (STRAP) and their associated processes.

* Maintain STRAP time recording system, as well as train new starters, add new contractors, add and remove work packages as instructed and perform journal hours for hours booked incorrectly as and when instructed.

* Support delivery of the monthly "estimated actuals" report for all programmes.

* Track and chase Programme Office Directive (POD) actions for programmes.

* To raise Purchase Requisitions (PR's) via P2P.(eg Sub-contractor Labour, Capital, IRAD).

* To ensure that Purchase Orders (PO's) have correct Work Packages applied.

* To maintain records of PO coverage (time and value) and ensure timely renewals as applicable for expiring PO's.

* Perform first approvals on invoices; validate work conducted in accordance with invoice (including matching with timecard reports), add work packages and internal routing.

* Support the training of new starters on the processes and usage of P2P.

* Provide Programme Control support to a number of programmes (inc supporting reviews and preparing status reports).

* Supports the delivery of scheduling, cost, risk and Earned Value Management (EVM) service to the programmes.

* Undertake the generation of the weekly and monthly reports, ensuring variances are identified, subsequently reviewed and corrected.

* Undertaking the labour utilisation analysis for both employee and contractor staff on a monthly basis including PM reporting metrics (eg DSC bookings).

* Support the generation and presentation of Comprehensive Estimate at Completion (CEAC) and rolling wave processes.

* Support the Programme Risk Manager with delivering a risk management service for programmes including supporting identification, assessment, mitigation planning, mitigation action tracking and reporting of risks and opportunities status.


* Support co-ordination of the Monthly Risk Management reviews working closely with the Programme Risk Manager regarding agenda items and meeting action items.

* Offer guidance, support and professional advice as required to ensure and maintain a positive team culture.

* Participation in development, documenting, execution, monitoring and improvement of department processes to ensure economic, rapid responses to existing and new customer requirements.

* Maintain Programme Office software license database.

* Programme Performance Management Change Control Board co-ordination.
