Provide administrative support to the Head of Flight Operations to ensure a smooth and effective day to day running of the Flight Operations department. The primary role is to ensure all Flight Ops publications and aircraft documentation is maintained and that we operate within a compliant framework.

Area of Accountability/Responsibility

1.Control and distribute aeronautical information, aircraft documentation and publications to ensure aircraft libraries are up-to-date and compliant with regulations. Where necessary liaise with other departments to obtain this information

2.Support internal customer across all bases and provide a first class service
3.Administer and manage document control through the ALERT database
4.Act as the Webmanuals electronic manuals administrator
5.Administer absence and leave requests for Flight Ops management
6.Liaise with CAA and EASA to submit, track and control NPAs for approved documents
7.Act as RigMap administrator and produce regular reports for all bases
8.Co-ordinate CAA Approvals and Exemptions and other tracking expiries
9.Control Weight and Balance information for aircraft and distribute in a timely manner
10.Control and monitor invoices and assist with budget planning and control
11.Act as the EFB Administrator
12.Assist with the recruitment and induction of new personnel and levers within Flight Ops
13.Collate and review departmental expenses claim and prepare for approval
14.Manage Flight Operations subscriptions and ensure timely review and payment
15.Periodic auditing of all Flight Operations publications and the ALERT database

16.Co-ordinate Quarterly Flight Operations Review Board meetings, prepare agendas and distribute minutes
17.Review Flight Ops processes and procedures and make recommendations to improve efficiency and ensure compliance
18.Complete other administration tasks as requested by Director of Operations and Head of Flight Operations

Knowledge, Skills, Experience, and Competencies

*Knowledge of Company Structure, proven administration experience and skills.
*Knowledge of the aviation industry is an advantage.

*Experience in administration, auditing, database & process management an advantage.

*Attention to detail
*Able communicator - verbal and written
*Ability to build relationships with internal customers and key stakeholders
*Competent in the use of MS Office - MS Word & Excel
*Able to review and recommend changes to working practices to improve efficiency and ensure compliance
*Able to operate un-supervised within a small team
