An excellent opportunity has arisen to join a world leading global organisation; our client Unilever are currently looking for a PA/Team Assistant (Legal Team) based at Unilever's prestigious facility in Blackfriars, London. This is a full time temporary role for a period of 11-12 months, working a 40 hour week, paying up to £32,262. 34 per annum, pro rata, depending on experience.

The role of the Legal Group is to protect Unilever and help it to win by providing objective advice and creative legal solutions.

We are looking for a team assistant to provide administrative support to the Global Privacy Team and the global Chief Privacy Officer. The role will involve a wide range of administrative and organisational tasks, including: travel arrangements, meetings, diary management, document management (e.g. SharePoint or the intranet or portal), invoicing and presentations and communication tasks.
The Global Privacy Team comprises 6 people. The role will report into the Global Privacy Officer and General Counsel Data protection and will support the wider team.

* Organising global and local meetings: video-conferencing, Skype for business, liaising with relevant people, arranging rooms and equipment, circulating invites/dial in details/uploading presentations.
* Organising all domestic and international travel arrangements, including relevant Visas or other documentation that is required.
* Preparing presentations, often within tight deadlines
* Diary management for Global Privacy Office & General Counsel Data Protection and wider team
* Processing expenses / invoice management on Ariba & Serengeti
* Preparing Legal letters and agreements, and forms for legalisation
* Maintaining all contact and email distribution lists
* Developing and maintaining SharePoint sites and any other collaboration sites (intranet)
* Communicating with internal and external clients and responding to queries and requests for information from other functions, countries
* Developing knowledge of key individuals internally and establishing relationships with their assistants
* General office duties, ensuring that all equipment is in working order and that any problems are reported, and are dealt with effectively

* This role requires a person who has a proven track record of supporting a number of different people based in multiple locations, and has the ability to build strong relationships;
* The applicant must be well organised, have the ability to prioritise and multi-task and have strong communication skills (written and oral)
* The applicant must be able to work on own initiative with minimum supervision
* Attention to detail is essential
* The applicant must be pro-active and be able to juggle workload. This role requires the individual to be flexible and agile.
* A background of working in a regional or global organisation would be preferable.
* The applicant must have experience in managing office processes and where necessary, needs to pro-actively identify solutions or work to develop new approaches to meet changing needs by embracing new ways of working.
* The candidate must have excellent IT skills, specifically in Word, Excel, Power Point and a good knowledge of web-based and SharePoint operating systems. Knowledge of Serengeti and Ariba would be an advantage.
