Administration Assistant
Salary- £16-£18k
Location- Annesley
Hours- 35 Hour Week- Mon-Fri
To support the Senior Management Team within The Communications Infrastructure Business to ensure efficient running of the Department. Supporting projects by providing efficient administration support, including financial administration for all projects, collation and input of time and attendance on a weekly basis for all field based staff and sub-contractors, accurate and timely processing of expenses for field based staff. Maintain service levels with Mobile Phone provider.
Key Responsibilities:
*Provide high quality, professional and strictly confidential administration support to the Management team within the Communications Infrastructure business.
*Production and management of Work Orders and Purchase Orders on IFS, AMS and any future ERP and Work Force Management systems.
*Co-ordination of any Departmental communications including the weekly SHEQS alerts.
*Collation and input of all field staff time bookings on a weekly basis including out allowance
*Be the first point of contact for any queries in relation to time bookings
*Collating weekly sub-contractor timesheets for authorisation
*Processing of all field staff expenses authorisation
*Management of the holiday tracker for Communications Infrastructure
*Co-ordinate travel booking requirements for Communications Infrastructure
*Maintenance of the Training Matrix for Rigging Services within AMS when this functionality is delivered.
*Liaise with the appropriate Line Manager and the Training Department to co-ordinate training for field staff i.e. annual refresher training
*Upload all training certification to Client databases (SEP)Co-Ordinate
*Manage the Field Engineering Mobile Telecommunications Service, (via the EE mobile phone account). Monitor utilisation of Mobile phones ensuring suspected misuse is raised with the line manager. Place orders with the supplier and ensure monthly billing is accurate.
*General Office duties including accurate data entry and updating databases.
*Support the department in ordering equipment for new starters via the IS Service Desk..
