Mission & role of the function:
Responsible for ensuring all daily material, plant and sub-contract orders are communicated to relevant suppliers and contractors. All records are kept and filed correctly. To meet all customers' and business requirements in the most cost effective, professional and timely manner whilst achieving a high level of customer both internal & external service.
Key accountabilities:
*To support the role of the external sales force through securing work, following up of sales leads, and promotion of branded products
*Place accurate material orders for all surfacing crews in accordance with specification
*Manage and organise the works program and update the location board system Answer incoming calls in a professional manner using standard call answering script and in line with set KPIs
*Where necessary, escalate customer issues or order details following Escalation Process when the situation is outside the control, capabilities or authority of the job incumbent.
*Liaise with other internal team members in relation to customer orders, pricing, products, delivery matters via phone and email
*All daily Materials, Plant and Subcontract orders are phoned through to suppliers/sub-contractors. Copies made and filed for reference. Confirmation of orders raised and P.O numbers relayed back to Site Managers
*Plant sheet/ Defect sheet checks - liaise with Fleet Manager and organise to book in or replacement vehicles where necessary. All vehicle defect sheets logged, sent on to the Fleet Manager. Hired Plant sheets to check and forward to Suppliers for monitoring of hours/faults.
*Material Laying records - weekly review and monitor for compliance. Copies filed for reference in the relevant electronic file.
*Stores - ordering any small tools or supplies the gangs require and book against relevant job.
*PPE orders for all surfacing members, monitor usage.
*Hire and off hire plant through the Fleet Manager.
*All Stand-pipe licences for Surfacing Gangs to be ordered through Water Authorities and logged.
*Keep the regional tonnage diary up to date on a daily basis.
*Code the asphalt material files.
*Link with the area teams and relevant external departments to ensure high level of customer service is maintained, including working within other areas should the need arise
*Maintain good working relationships with drivers and/or traffic staff of service providers
*Understand the forward order and forecast sales volumes to evaluate the impact on distribution requirements
