Job Purpose

To assist in providing an efficient and welcoming reception service for visitors and staff. To represent the organisation in a professional and polite manner and be an interface between and visitors.

Responsibilities
*Receive bookings of visitors and amend on a daily basis
*Maintain a log of visitors and parking applications
*Establish the correct type of pass that has to be issued
*Receive visitors and provide visitor information as required
*Arrange for accompanying of visitors if necessary
*Deal with phone enquiries
*Collect passes from departing visitors
*Provide support for Car Parking process
*Maintain a manual back-up system to operate in the event of failure of the database system
*Liaise with managers and other colleagues to provide a good two way communication between each business units
*To act as main point of contact between business units and the FM team
*To act as a conduit to ensure that all queries and requests that cannot be dealt with by the reception team, are passed to the appropriate member of the FM team
*Ensure staff and visitors progress through Reception quickly and smoothly.
*Maintain the presentation and cleanliness of the reception area
*Remain vigilant and up-to-date with Security procedures and report any suspicious behaviour with the FM Supervisor or Security Manager
*Fully comply with fire and evacuation procedures and work in accordance with the Health and Safety procedures.
*Assisting the FM Supervisor with meetings.
*Assist in other departments of the FM team as necessary.
*Check off visitors arriving at the car park against visitors list for the day.
*Issue parking passes and direct customers to the car parking spaces.
*Raise purchase orders as and when requested using SAP.
*Day to day minor administration duties
*Regularly review and monitor TABSFM, print off and allocate tasks to the FM Assistants
*Regular cleaning of Reception area
*Ad-hoc duties as requested by the FM Supervisor

Qualifications and requirments

Essential
*Excellent communication skills at all levels
*Strong customer service skills
*Good organisational skills
*Good typing and telephone skills
*Experience of dealing with customers and communicating with a wide range of people.
*Flexible in approach to work
*Ability to work effectively as a member of a team
*Ability to work under pressure at busy times

Desirable
*Strong office administration skills
*Experience of working with document management systems desirable.
*Proven track record of working on a busy reception desk
*Good knowledge of Microsoft Office
