Job description/Person specification

Co-ordinate the delivery of maintenance activities across a geographic region/large site; including monthly planning/monitoring of maintenance activities, booking resource to tasks, contractor and customer liaison and arranging access to site.

Key Capabilities/Knowledge

*Strong IT knowledge skills; proficient in MS office, particularly excel
*Good organisation & communication skills
*Experience of work planning/scheduling
*Assertive and able to plan/allocate work to engineering teams
*Proactive and able to prioritise work under pressure
*Good verbal, written, listening & negotiating skills
*Good stakeholder management skills
*Ability to work well within a team
*Drive & enthusiasm; 'can do' approach
*Excellent understanding of FM Maintenance activities.
*Excellent understanding of Contractor Control activities.
*Desirable - A minimum of 2 years' experience in a planning/scheduling role
*Good knowledge of health and safety in property maintenance/construction industries.
*Customer service background is desirable
*SAP knowledge / experience is desirable

Day to Day

*Close down completed Work order from engineers; Raise any corrective works from these reports.
*Monitor and raise responsive works from the customer. Check that the SLA set for Jobs have been correctly set to by the agreed priorities.
*We are closely monitored by our performance. It is important that SAP it kept up to date with job updates and customer kept informed.
*Any documentation produce from the maintenance activities are to be scanned into electronic building files and hard copies filed. All documentation needs to be easily accessible for auditing purposes.
*Ensure asset detail are correct. Any changes made by engineer to be updated on SAP system.

Report 2 months ahead of maintenance due produced by planning manager. Maintenance coordinator working with the operation leads across the north sites:
*Hebrides
*Butec
*Central Scotland
*West Freugh
*Eskmeals

Any Contractors required are to be booked on site ensure purchase orders are in place. Ensure copies of risk assessment/ method statements and contractors competencies prior to booked visit. Allocates the work orders to engineer, This is to be completed and agreed 4 weeks before maintenance is due to start so plan can be agreed. Enough time need to be allowed for the engineers to be able to respond to reactive works. Ensure schedule is updated on SAP if any changes have been made to the plan. E.g work completed early. Ensure SAP re schedule to match to ensure we have not statutory failures on the next cycle.


*Regular meeting with the operational leads is required with open work orders to ensure progress and ensure SAP is accurate.
*The applicant will also be involved going through current SAP asset ensure conformity in how task are listed ensuring they are the same across the business.
*The applicant needs to be organised and have Excellent IT skills. The Report s run from SAP do not contain all the information required on one report. They must be good with excel and be able to merge reports.
*They will need to be strong for dealing with all the operational leads.
*The applicant needs be good dealing with people, they would normally be the first point of contact. They can be difficult so it's important to be able to stay calm and patient.
*They need to work well as a team. We can be flexible how the hours are worked. It's important that able to work on a Friday, other time can be negotiated.
