Job Details

The role will be to support the execution of BCU's programme of events to stakeholders, businesses and commercial event opportunities to the required service standards of the University ensuring that the paperwork, administration, financial records and communications needed to book, deliver and ensure client satisfaction are executed correctly.

Preferably, you are required to have a qualification in event management or marketing and have some previous experience in the role of events administrator or similar role in marketing.

You will have strong administrative skills & good I.T and planning skills. You are self-motivated with the ability to work in an organised and efficient manner, have attention to detail, are a completer-finisher, good interpersonal skills and are flexible and co-operative.

Main Activities and Responsibilities

1.Use event management software to update and maintain event management records.
2.Deal with event enquiries, taking appropriate details and referring enquiries to appropriate colleagues. Take ownership of queries following up responses and actions.
3.Essential to keep the events calendar up to date. Working closely with event managers on the detail required for all central services. i.e. security, I.T, cleaning, campus services
4.Send out, chase and store event contracts
5.Provide efficient customer focused support for event registration, sending invitations, monitoring and chasing responses and maintaining up to date delegate details.
6.Attend and assist with events and ensuring they run smoothly and according to plan.
7.Alert senior staff to concerns or problems that might impact on events or performance.
8.Provide support for marketing and event publicity and promotion.

Key Requirements

Communication
Communicate with external audiences chasing requirements and confirming needs.

Teamwork and collaborative working

Work in partnership with colleagues in Estates services to finalise logistical arrangements, including security, cleaning etc
Working with professional services teams to understand timetabling challenges and ensuring marketing are aware of any communication opportunities
Work closely colleagues across Faculties and with colleagues in central professional services to ensure that events deliver an outstanding service, proactive and responsive to the needs of customer groups and is efficient, effective, equitable and fair; maintaining and enhancing the University's reputation for quality.

Initiative, problem solving and decision making
Identify and drive forward opportunities to improve efficiency and effectiveness of events.
Resolve problems affecting the delivery of events.

Work environment
Be aware of risks in the work environment and their potential impact on own work and that of others. Ensure that appropriate risk management processes are operational within own areas of responsibility

Person Specification
*A good standard of education with vocational qualifications relating to business administration, customer services and events management of marketing.
*Experience in a broad, proactive administrative role in a similar environment (events, hospitality or marketing).
*Self-motivated with the ability to work in an organised and efficient manner
*Good attention to detail.
*Good interpersonal skills
