Our client is currently recruiting for a PA to the Legal team based in Croydon. Supporting the solicitors on site, you will be required to carry out a range of administrative tasks including file creation, expenses and invoice management, reporting, and clerical activity.

The successful candidate will be a part of the Customers Legal team, which carries out a range of activities including supplying electricity and gas to business and residential customers. You will also assist the Corporate Principal Solicitor and his team, which handles the company's IT, pensions and employment related legal work. You will need to be sensitive to the importance of maintaining a strong team dynamic and having a supportive, constructive and fun team environment.

Duties will include (but not limited to) the following:

  • Coordinate diary arrangements using initiative and judgement to proactively identify and resolve conflicting meeting arrangements
  • Arrange and attend various meetings on behalf of the Principal Solicitors, including team meetings, lunchtime learning sessions and team visits to external sites plus support and organisation of events management
  • Coordinate and book travel arrangements taking into account business priorities to make the best use of Principal Solicitor time, provide itineraries for travel
  • Action monthly expenses, business mileage and reconcile expenses statements for the Principal Solicitors
  • Manage and update IT and any other equipment spreadsheets
  • Provide support in communication activities including compiling, formatting and distributing monthly highlights including regularly update and circulate confidential team documents
  • Maintain and update the document management system and assist the Principal Solicitors in filing and storing document in it.
  • Design slide packs for presentations for the Principal Solicitors and store for future use
  • Maintain team structure and other documents such as team agendas, policy, performance and other related information
  • Maintain a record of communication activities and publications. Store relevant publications in an accessible knowledge management repository
  • Administer teams' solicitor allocation process, collating requests for legal support, communicating allocated solicitors to business clients when instructed by the Principal Solicitors, and maintaining associated trackers and mailboxes
  • Create matter files using department's document management system
  • Create and maintain trackers to identify solicitor time/effort expended per matter, and produce periodic reporting for the Principal Solicitors

The successful candidate will have:

  • Experienced administrator
  • Experienced in supporting more than one manager
  • Managing multiple complex diaries and arranging meetings
  • Proven organisational, prioritisation and time management skills
  • Highest attention to detail
  • Proven evidence of being a team player with a 'can do' attitude
  • Strong communication skills: written and verbal and commitment to finding solutions
  • Ability to meet deadlines and remain calm under pressure
  • Flexibility to travel to other offices
  • Strong IT skills and Microsoft package, particularly Excel and Outlook - SAP experience would be beneficial
