This is a full time 3 - 6 month temporary School Support PA role working with The University of Leeds
Monday to Friday office hours, paying £12.21 - £14.14 per hour.

What does the role entail?

  • Provide a full range of PA/secretarial services including preparation of correspondence, meeting papers and documentation; receiving visitors and arranging hospitality as required; and managing diaries, using initiative to re-schedule meetings when required
  • Arrange travel and accommodation, raising SIPR's, processing claims for expenses ensuring they are dealt with in a timely manner and meet end of month deadlines
  • Assist with academic recruitment including producing documentation for the shortlisting process; identifying and confirming interview panel members including student representatives; booking venues for presentations and interviews; arranging and publicising staff/candidate lunches; and providing hospitality to candidates during their visit
  • Coordinate meeting process including scheduling meetings; preparing pre-meeting information; ensuring reviews are logged SAP; assisting with production of meeting outcomes; and ensuring any follow up actions are picked up
  • Record and monitor sickness and other absences via SAP and ensure relevant paperwork is completed in accordance with University procedures
  • Act as the School's Deputy Health & Safety Co-ordinator assisting the School's Health & Safety Co-ordinator in carrying out functions in accordance with the responsibilities as

  • Organise School events e.g. graduation receptions, School Away Days, HoS Suppers, including publicising, producing materials and resources, booking venues, arranging catering and management at the events
  • Make the necessary arrangements for international visitors to the School under collaborative agreements with the School/University including producing letters of invitation; drafting and communicating itineraries; and booking accommodation, catering and meeting/seminar rooms as appropriate

Experience

  • Previous extensive experience of working as a PA at a senior management level
  • Experience of servicing committees and producing minutes
  • Excellent IT skills (RSAII or equivalent) including experience with MS Office, internet and email and the ability to use these to process data and provide information
  • Evidence of reliability and able to function in a demanding environment
  • Evidence of high level of accuracy and attention to detail
  • Evidence of excellent interpersonal and communication skills
  • Evidence of ability to project a professional image of the School to all stakeholders
  • Proven ability to work as part of a team
