An exciting opportunity has arisen to join a world leading global organisation. Our client, a blue chip FMCG company, is currently seeking a PA to VP and 2 Directors based at their offices in Blackfriars, London. This is a full-time, temporary role for a period of 3-6 months (with potential to go permanent for the right candidate), Monday to Friday, 36.25 hours per week, to start ASAP (with interviews taking place on 28th March). The role is paying between £27,200 and £30,875 per annum, pro rata, depending on experience.

This role provides a pro-active and high-level secretarial support to the VP of Consumer Market Insights (Country & Customer Development - Americas & Europe) who is based in 100VE, and 2 CMI Directors who are based in Leatherhead. In this busy and demanding environment a top level of service is required at all times.

KEY RESPONSIBILITIES:

  • Diary management- assessing/filtering competing priorities and anticipating requirements
  • Organising international travel, including preparation of itineraries, visas, etc. together with management of out of office requirements
  • Screening, responding to and redirecting mail, as appropriate
  • Composing/typing general correspondence/emails
  • Preparation of presentations and other materials for meetings
  • Organisation and administration of local meetings & visitors - coordinating all logistics i.e. attendees, timings, equipment and rooms.
  • Organising international meetings using knowledge of technologies available to deliver the most appropriate solution i.e. telepresence, live meetings etc. (once or twice a year) *VITAL*
  • Co-ordination of expenses and invoice processing
  • Pro-actively tackling issues related to administrative processes to ensure speed and efficiency
  • Ownership of starter/leaver admin process for team
  • This role will also be responsible for managing the GLOBUS CMI BIC Budget global system which is part of the Market Insight COE part of the role, including;
  • Ensuring the budgets are captured across all markets/countries for continuous and ad hoc budgets, i.e. maintaining expenses on Excel spreadsheets, calculating what is left over and present monthly findings
  • Role will need to support basic market insight analysis & consolidation at a global working with agencies
  • Build and develop knowledge of key individuals and respond appropriately to queries and requests.

SKILLS/EXPERIENCE:

  • Proven strong experience as a PA, experience working in a corporate environment and regional/global organisation. It requires discretion and confidentiality.
  • Must be well organised and able to prioritise tasks of high complexity
  • Must have the ability to build relationships with an international network and key stakeholders across different levels, internally and externally.
  • Good organisational and time management skills with the ability to prioritise workload and multi-task
  • Proactive attitude with the ability to demonstrate initiative, attention to detail and reliability
  • Self-motivated, highly productive, reliable with a flexible attitude.
  • Ability to act with good judgement and common sense.
  • Ability to work under pressure, meet tight deadlines
  • Excellent written and oral communication skills are important as the job holder will be the face of Home Care CMI Globally.
  • Experience in managing office processes and where necessary, developing new approaches to meeting changing needs.
  • Comfortable working in a virtual environment, embracing new ways of working and using knowledge of the technologies available to proactively support the needs of the VP.
  • High degree of maturity, self-confidence and have strong interpersonal skills.
  • Solid IT skills, particularly Word, Excel and PowerPoint and comfortable picking up emerging technologies.
  • Accuracy, speed and an ability to 'get things done' are vital.
