  • PURPOSE OF POST

  • The Database Assistant will support the operations of the University's Alumni Relations office. The postholder will assist with the maintenance of the Alumni Association's database, ensuring that information is accurate, up-to-date, comprehensive and effective, as well as assisting in the administration of the Association's programme of communications and events. The postholder will also provide administrative support to the Alumni team.


  • PRINCIPAL ACCOUNTABILITIES

  • Specifically, the postholder will be required:


  • To provide administrative, secretarial and clerical support to the Alumni Relations team;


  • With appropriate training and supervision, to process postal and online alumni membership or event registrations, creating and updating member records in the Raiser's Edge database as required in a timely and accurate manner;


  • To adhere to the Data Protection Act and the Alumni Relations Office Customer Service Charter;


  • With appropriate training and supervision, to identify and merge duplicate records and carry out similar tasks to maintain the accuracy and efficiency of the database;


  • To assist with alumni relations communications including postal, email and social media;


  • To assist with alumni relations events, both through office administration before and after events and through attendance at events themselves;


  • To assist with Open Days, Clearing and special events as part of the wider Marketing and Communications Department, either in an office-based role or as part of the activity itself, as required by organisers;
  • To undertake other duties commensurate with the post as required by the Senior Alumni Relations Officer or directed by the Director of Marketing and Communications.

    Special Conditions

    Some evening and weekend work may be required. All staff in the Marketing and Communications Department are required to support Open Day and Clearing activity, so restrictions are in place relating to the booking of holiday during mid-August and on other key days of the year.

    Birmingham City University's Alumni Association was established in 2004 (under the name University of Central England in Birmingham Alumni Association), with the aim of maintaining a mutually beneficial relationship between the University and its alumni. The Association has grown from a standing start to being in contact with over 55,000 members. Effective engagement between the University and its former students plays an integral role in the delivery of the University's mission and vision.
