Do you thrive in a busy, fast-paced office environment and enjoy working on a range of projects?We are seeking a highly motivated and experienced PA to provide professional administrative support to both the Director and Deputy Director. Your duties will include the effective management and maintenance of complex electronic diaries, organising meetings, travel, supporting a range of meetings and overseeing recruitment logistics and ensuring team HR records are up to date.You will have excellent verbal and written communications skills with the ability to develop and maintain effective working relationships with people in the team, across the University and in external organisations. What does the role entail?Significant experience of providing pro-active high level PA support in a busy office environment; Extensive experience of electronic diary management, and inbox management and tracking; Excellent organisational skills, with a proven ability to prioritise and plan your work independently to tight deadlines, and to manage conflicting priorities; A proven ability to work with a high level of diplomacy, discretion and confidentiality; A proven ability to handle problems efficiently and professionally, using your initiative to find solutions and to respond to unexpected demands and priorities; Experience of using a database or other CRM software; Experience of working in the Higher Education sector. - Managing and maintaining the electronic diaries of the Directors and all associated actions including communicating arrangements, providing timely briefing information in preparation for meetings and ensuring follow up actions are completed.
- Maintaining a detailed understanding of current and upcoming priorities and implementing an effective 'bring forward' system for each director to ensure deadlines and urgent priorities are addressed.
- Drafting correspondence on behalf of the Directors.
- Organising complex UK and overseas travel plans, including scheduling meetings and making travel arrangements, reconciling expenditure and producing detailed travel itineraries.
- Implementing financial procedures to comply with purchasing and expenses policies.
- Suggest and implement improvements to systems and processes as appropriate.
- Liaising with other PAs across the University to best plan, manage and coordinate Directors' time and activity and share knowledge and experience.
