An excellent opportunity has arisen to join a world leading global organisation. Our client are currently looking for a Executive Personal Assistant to the CSCO based at their prestigious facility in Blackfriars, London. This is a full time temporary role for a period of 12 months, (covering Maternity leave), starting ideally ASAP (working a 36.25 hour week). This role is paying up to £48750, per annum, depending on experience.

Background:

This role supports the Chief Supply Chain Officer on a 1:1 basis, although requires a cooperative and flexible attitude to work with other members of the Global Supply Chain Leadership team.
The Chief Supply Chain Officer travels extensively and is rarely in the office, he therefore requires a PA who is a self-starter, who can interact regularly with a very international network both inside the business and externally. The successful candidate must be capable of managing their own time effectively; keeping the Chief Supply Chain Officer updated on issues arising in their absence, keeping track of any actions and anticipating his needs proactively.

The Supply Chain represents a huge percentage of the total population of the Company, therefore this role requires the incumbent to establish and maintain connections with a large number of staff at all levels of the organisation.

Main Job Purpose:

To provide seamless, pro-active and high-level assistance in a busy and demanding environment ensuring a consistently high level of service.


Key Accountabilities:

Impeccable diary management - managing competing priorities and last minute changes.
-Visitor management
-Screening, redirecting and responding to mail, as appropriate
-Typing of general correspondence emails and reports.
-Organisation of international and local travel, including preparation of itineraries, visas, etc. together with management of out of office requirements.
-Organising local and international meetings of all sizes
-Liaison with internal customers and external contacts - developing knowledge of key individuals, including the PA network
-Pro-actively tackling issues related to administrative processes to ensure speed and efficiency.
-Responding to queries and requests for information from all parts of the organisation.
-Processing expenses and invoices using relevant systems
-Booking meeting rooms
-Organising meetings of the CSCO's Leadership Team
-Organising and preparing meeting materials in a timely and accurate manner
-Working closely with the CSCO's Strategy Programme Director on prioritisation, agendas, and travel and speaking commitments.
-Travelling with the CSCO / Leadership Team when necessary, to provide administration and event support
-Working flexibly outside of core hours

Skills/ Experience/ Qualifications:

-Educated to degree level

This role requires proven experience as a C-Suite Personal/Executive Assistant in an international environment.

-Previous experience working with a large number of stakeholders internally and externally within an International framework.

-Impeccable attention to detail.

-Excellent written and oral communication skills.

-Experience in managing office processes and where necessary, developing new approaches to meeting changing needs.

-Critically, you must be well organised, able to prioritise tasks of high complexity and have the ability to build relationships with an international network and key stakeholders across different levels inside and outside of the organisation.

-Initiative to assist the Chief Supply Chain Officer to be as efficient as possible in using their time

-You should have the ability and confidence to act as a trusted advisor to the CSCO and key leadership team members.

-Strategic thinking is a must. You must be able to connect the dots, establishing connections between topics or requests to ensure the Chief Supply Chain Officer has all relevant information at all times and think outside the box rather than acting on instruction.

-You must be comfortable working in a virtual environment and building collaboration with people at all levels and from different cultures around the world.

-A willingness to 'get stuck in' - no task is too big or too small.

-Proficient in the use of Microsoft applications including Word, Excel, Power Point and SharePoint

-Ability to quickly acquire new IT skills to utilise key company software and systems

-Flexibility to move with the times and work with smartphone app's and new technology rather than more traditional communication tools.

-You must be flexible, have a high degree of maturity, self-confidence, enthusiasm and strong interpersonal skills.

-Calm and able to cope with constant changes in the CSCO's plans in a very fast paced environment.

-Trustworthy, discrete and sensitive when exposed to confidential information
