An excellent opportunity has arisen to join a world leading global organisation; our clients are currently looking for a Travel & Vehicle System Administrator at their prestigious facility in Kingston. This is a temporary role to start ASAP for a 6 month period, working a 36.25 hour week. This role is paying up to £37,050 per annum, pro rata, depending on experience.

The Workplace, Travel & Fleet Services organisation, a part of ETS, delivers the Real Estate, Facilities Management, Building Projects, Travel and Agile (Workplace design standards) services for Unilever, managing a portfolio in excess of 9 million Square Meters of Space. Working with around 850 + permanent employees and 5000+ supplier resources.

Main Purpose of the job

The Project Silver Fleet & Travel Administrator will function as primary stakeholder and employee liaison for all assigned administrative task during the TSA period. The incumbent will play a pivotal role and will be responsible to ensure the smooth maintenance of Fleet and Travel services to employees during the transition period. The person will be responsible for liaising with the In-country Service Delivery Managers and the Global Fleet and Travel team. They will also be responsible for all day to day administrative duties related to Project Silver. The Administrator also serves as primary contact between internal clients and external suppliers to ensure all fleet and travel related needs/requests are met in the most efficient manner.

Key Accountabilities

  • Work with local SDM / procurement teams to finalise current vehicles that are leased/owned for transfer during TSA period
  • Support local Service Delivery Manager with any questions or escalations required for successful divestment
  • Provide full transparency of leasing services which will transfer as of 1st July
  • Ensure that a local payment process is in place per market for transferring leases and other services
  • Ensure HR process, policies and governance is in place per market for transferring leases and other services
  • Track progress of current BCS markets and ROW vehicle leases/owned vehicles and services
  • Ensure that entities are correct and transfer of individual contracts agreed with lessors
  • Confirm with lessors on contracts that are to be transferred and resolve any issues
  • During 6 month TSA period support with any queries and actions from KKR
  • Work on any ad-hoc requests from existing employees (or new KKR employees during TSA) wishing to lease/purchase cars
  • Work with Travel Management Company to ensure entities are correct and setup accordingly
  • Manage any travel profile requests with Travel Management Company during TSA period
  • Map out ROW with HR of the to be organisation and employees that will transfer as of 1st July
  • Support with any queries and actions from employees during 6 month TSA period
