Job Details
We are currently recruiting for an experienced Executive Assistant on behalf of our client, American Express. This is a temporary role to start immediately and is ongoing.
The Executive Assistant will provide administrative support to the VP FX International Payments Operations based in Belgrave House, London.
Responsibilities:
- Monitor communications for VP. i.e. email, telephone etc. and ensure a timely response
- Scheduling and coordination of meetings across multiple time zones
- Organise travel arrangements through Concur and arrange visas
- Maintaining office supplies using Ariba Buyer
- Liaise with internal/external departments
- Information management (org charts, location summaries)
- Prepare and reconcile expenses on Concur
- Collation and preparation of monthly reports and governance committee materials
- Coordinate induction of new team members
- Prepare meeting presentation decks and take minutes
- Administrator of internal web site
- Assisting leadership team with ad hoc tasks
- Build and maintain personal relationships representing our area well within the business with other EAs and support groups
- Provide assistance to the EA of the HQ team and visiting HQ team members as required
Required skills:
- Significant administration/EA experience
- Proficient in using desktop software products, including: Word, PowerPoint, Excel, Adobe and Outlook
- Ability to work on own initiative
- Strong interpersonal and accurate communication skills, both verbal and written
- A positive attitude and the desire to progress in their role
- Strong organisational skills with ability to prioritise, manage and complete multiple tasks within specified timeframe
- Ability to communicate with individuals of varying levels across the globe
- Must demonstrate a high level of integrity and confidentiality
- Teamwork, ability to work well with others
