Do you have a high attention to detail and the ability to work independently? Have you experience of scanning and indexing paperwork in an accurate, timely and consistent manner?

Working within Human Resources (HR), you will be responsible for scanning and indexing paperwork to the University's electronic document repository, an essential component of the HR function, which is accessed daily by HR professionals across the organisation.

As a Document Archiving Assistant, your main duties will include:

  • Preparing paperwork for scanning;
  • Ensuring paper and electronic files are indexed in an accurate and consistent manner to provide an excellent customer service for colleagues, and to achieve compliance with General Data Protection Regulations;
  • Working with the HR Team Leaders and members of the HR team to systematically support scanning requirements;
  • Informing members of the HR Management Information Team of any errors in document archiving or technical issues with the scanning equipment;
  • Collating, photocopying and sending out contractual correspondence for Team Leaders;
  • Covering our HR reception, greeting visitors and answering phone calls, when our Reception and Admin Assistant is unavailable.

What will you bring to the role?

As a Document Archiving Assistant you will have:

  • Previously worked in a customer services-oriented environment;
  • Experience of dealing with a consistently busy workload with minimal supervision;
  • Evidence of the ability to scan high volumes of paperwork quickly and accurately, paying high attention to detail;
  • Ability to work both proactively and independently, but also as part of a wider support team;
  • Good interpersonal and communication skills and evidence of an ability to develop and maintain good working relationships with colleagues;
  • Proficient IT skills, including Microsoft Internet Explorer and other common Microsoft applications.You may also have:
  • Experience of using Captiva Scan/Index+ and Documentum document management systems
  • Experience of SAP or equivalent HR/Payroll administration system
  • An awareness of the Data Protection Act and General Data Protection Regulation
