An exciting opportunity has arisen to join a world leading global organisation, our client Leading Global FMCG company with Brands such as Dove, Knorr, Persil & Magnum are currently looking for a Marketing Project Assistant, based at their prestigious facility in Blackfriars, London. This is a full time temporary role for a period of 6 months, working a 36.25 hour week. This role is paying between £27,200 and £30,875 per annum, pro rata, depending on experience. There will likely be a requirement 2-3 days per month to work from their facility in Leatherhead. Fridays usually agile working.

MAIN JOB PURPOSE:

We are looking for individuals with strong problem solving capabilities, project management experience and well developed interpersonal skills that have ambitions of being a leader in our organization someday. This is a perfect opportunity for someone to gain insights of the marketing analytics department. In this dual-role, you will be occasionally assisting on a number of analytical projects as well as supporting the Vice President of Marketing and Data Analytics (diary management and expenses) and his team from an administrative side. You will be providing the general team support in the coordination of travel, budget management (incl. raising purchase orders goods receipts and managing the supplier payment process), overlooking HR within the team, booking facilities, on boarding new joiners and more.

You will be working very close with the Vice President and gain understandings on the projects he is working on. He will regularly delegate some of the projects to you. This is an excellent opportunity for practical exposure to the analytics world, and would therefore suit someone with a keen interest in progressing higher within this organisation. This role provides great potential for growth and professional development.

JOB SUMMARY

  • Diary management - managing competing priorities and scheduling meetings in hubs around the world
  • Visitor management and maintenance of team and supplier organization details and communication
  • Screening, redirecting and responding to VPs' mail, as appropriate
  • Answering calls and handling queries and personnel admin in Peoplesoft, IT and job support
  • Preparing and issuing correspondences with team, suppliers and Global Marketing Leadership Team
  • Typing of general correspondence emails, notes and reports
  • Preparation of PowerPoint presentations, Excel spreadsheets and materials for meetings
  • Organisation of both international and local travel, including preparation of itineraries, visas, etc. together with management of out of office requirements
  • Organising local and international meetings and events
  • Liaison with internal customers and external contacts - developing working relationships with key individuals, including PA network
  • Pro-actively tackling issues related to administrative processes to ensure speed and efficiency.
  • Responding to queries and requests for information from UEx / MLT/ / Regions / categories etc. on an regular basis
  • Processing expenses and invoices using relevant systems
  • Global budget management and tracking for VP's full global team in T&E, bought in cost in CMI projects across our brand and processing of POs and invoices for Global projects
  • Global report management in following through inputs on various inputs from across the regions and circulation/responses within the organization
  • Booking & minutes of meetings, including Telepresence facilities and Live Meetings

KEY REQUIREMENTS

This role requires proven experience as a Personal Assistant, preferably working in a regional or global organization with senior management. It requires discretion and confidentiality.

Excellent written and oral communication skills are important, plus experience in managing office processes and where necessary, developing new approaches to meeting changing needs.

Critically, the jobholder must have excellent organization skills, able to prioritize tasks of high complexity and have the ability to build relationships with an international network and key stakeholders across different levels in and out of the organisation. They must be efficient, self-motivated, organized, a good communicator, and IT savvy. He/she must be comfortable working independently a virtual environment and building collaboration with people from different cultures around the world. In doing so, the candidate should have a high degree of self-confidence, and have strong interpersonal skills.
