Role:

The Account Support team provides a broad range of support to the DBS Account including: recruiting management, support office and conference facilities, configuration management, asset control and Purchasing and mail services and reprographics. The Support office administration assistant works primarily in the Support Office with particular focus on conference facilities, new joiners on-boarding and allied documentation and staff list. Overall, this role has a varied profile and will suit those who can multi-task while maintaining control of priorities.

Main Responsibilities:

  • Managing bookings for conference rooms/facilities using phone, email, or through face to face enquiry and keeping booking calendars up to date and the rooms serviceable (i. e consumables re-stocked and equipment is operable).
  • Controlling the booking, issue and return of portable equipment (e.g Starphones and Projectors) and assist other staff using the in-office self-service document copying and scanning equipment.
  • Co-ordinating, compiling and distributing internal Weekly Staff Communications documents.
  • Co-ordinating monthly charity events and (accompanied by another member of the team) count cash and be responsible for the cash donations received until banked.
  • Managing the company new joiner system administration, visitor notifications and collection at HMS Sultan main gate as required and act as escort as required. Conduct local on-boarding briefs for new joiners to the account in liaison with the Recruiting Manager and Security Officer.
  • Maintain the New Joiner Pack documentation pack in liaison with document sponsors.
  • Maintain accurate, auditable and comprehensive records on local spreadsheets and systems and provide routine reports and management information.

  • Strong communication skills, written and verbal - confidence to brief new joiners.
  • Experience with MS Office products and ability to absorb use of other IT systems.
  • Proactive, self- motivated and self- starting.
  • Efficient time management.
  • Attention to detail.
  • Ability to work under pressure and to tight deadlines.
  • Ability to respond and react to changing circumstances.
  • Ability to work as part of a team.
  • Driving Licence - to use company vehicle to meet/escort visitors and deliveries.

Hours of work:

Monday -Friday 8:30am -17:00 pm

Based on an initial 6 month contract .
