Our client, a well-established energy company based in Barnwood Gloucester, is looking for an Admin Assistant to provide dedicated administrative and business support to the fuel life cycle manager.

Responsibilities:

Main areas of responsibility in support of the fuel life cycle manager area are:

  • Diary management for Fuel lifecycle Manager and further team as requested.
  • Identify key needs and provide admin support to the Fuel lifecycle Manager.
  • Take ownership for pro-actively managing and developing the suite of departmental meetings including planning and preparing the meeting arrangements, material preparation and associated communications / co-ordination.
  • Preparing programme / business level presentations, correspondence and reports on behalf of the Fuel lifecycle Management lead team.
  • Attending meetings, as and when required, including minute taking.
  • Primary contact for travel bookings and arrangements within the function (including managing expense claims where appropriate and delegated).
  • Maintaining a prioritised "departmental task list" for the lead team containing information on outstanding tasks that require action.
  • Support the Fuel lifecycle Management lead team in ensuring good alignment and management across the various teams in the function.
  • Act as one of the primary departmental points of contact to answer routine questions and providing information on behalf of the department.
  • Maintain and develop the wiki page for the function and facilitate any communications both within and outside the team.
  • Maintain and pro-actively develop various departmental tracking tools relating to departmental improvement activities, training plans, weekly attendance registers and organisational learning activities.

Further support to wider department will include:

  • Varying ad-hoc support across the department as required.
  • Provide document control oversight and support.

Skills / Experience required:

Essential

  • Strong organisational skills.
  • Strong PowerPoint and MS skills with ability to tailor material depending on audience and style of information.
  • Self-starter, comfortable operating independently with a strong drive for task completion.
  • Pro-active attitude to work management and planning.
  • Strong communication and influencing skills adaptable for all levels of management and staff.
  • Numerate with attention to detail.
  • Ability to work on a broad number of tasks concurrently.

Desirable

  • Experience within a highly regulated industry.
  • Awareness of nuclear industry.
