An exciting opportunity has arisen to join a world leading global organisation, our client are currently seeking a Part Time PA/Team Assistant based at HQ in Leatherhead, Surrey. This is a Part Time temporary role for a period of until May 2019, working 3 days per week (21.75 hours). This role is paying £14,703 depending on experience, to start ASAP.

The successful applicant must be available to work Monday, Tuesday and Wednesday. These days are set and are unable to be altered as this position forms part of a job share, with Wednesday required to be the handover day.

The Personal Assistant/Team Assistant role is to support the Planning Director as a PA and the broader Team of 80 as a Team assistant. The split between PA and TA is roughly equal.

Responsibilities & Accountabilities:

  • To provide PA support to the Planning Director
  • Proactive diary management and operate an effective bring-forward system for required meeting & presentation material.
  • E Mail inbox management.
  • Meeting room booking
  • Video and Telephone Conferencing booking and setup
  • Prepare team meeting presentations.
  • Travel booking
  • Processing of expenses.
  • Maintain content on the Information portal for the team and own portal structure.
  • Maintain departmental organograms.
  • Management of Purchase Orders process.

To provide administrative support for the Planning Team (~80 people), generally limited to:


  • To provide an initial point of contact for the team to resolve their "self-service" admin issues
  • To own the IT Joiners, Movers & Leavers process on behalf of the team.
  • To manage ad-hoc queries on behalf of the team including IT service requests
  • To record team movement and holidays.
  • To manage the collation and reporting of team sickness and absence.
  • To deliver generic induction and on-boarding process for new starters in the team
  • Maintain induction packs and personal knowledge of content
  • Deliver general induction to new starters
  • Tailor individual induction timetables for new starters (in conjunction with Managers)
  • Support new starter in use of generic process & tools including information Portal
  • Ensure fast start for all new starters

  • Key Experience and Qualifications Required

    • The successful applicant will have a proven track record of delivery in a combined PA/TA type role and be comfortable delivering excellent support to the Departmental Director whilst maintaining an effective delivery and relationship with the broader team.
    • The ability to demonstrate attention to detail and pride in their delivery highly valued.
    • Experience working in a large organisation with several services provided remotely (e.g. IT, HR, Purchase orders) is a distinct advantage.

    Microsoft Live Meeting and Microsoft Sharepoint
