My client is looking for an experienced receptionist who can not only create a friendly atmosphere and provide a professionally serviced reception area, but who can also provide support to a busy team.

You will be the first point of contact for calls being logged on our support desk and also front of house reception for the Company Headquarters. They should ensure that all visitors and customers are provided with a professional and personal service and a high level of customer care and incoming callers are dealt with promptly and efficiently.

This role will be responsible for maintaining contact with various internal and external customers, working in accordance with regulations to ensure records are accurately maintained in a property management software system. This person will also be a point of contact for all health and safety and maintenance issues in relation to the building, reporting back to the health and safety coordinator.

Key Accountabilities:

Maintaining standards and taking responsibility of the reception area, ensuring that it is tidy and kept clear of obstructions at all times

Organise visitors' parking, coordinating with the Chairman's PA

Organise fresh flowers on a weekly basis

Organise daily newspaper collections for reception

Provide an efficient switchboard service to incoming callers, ensuring calls are dealt with promptly

Take concise messages and communicate accurately within a timely manner

Greet visitors and customers professionally, ensuring that all health and safety procedures are adhered to

Help scheduling services dates for systems and equipment within the office

Maintain coordination with the Maintenance Team and organise routine repairs to the building and our properties where required

Providing support when required to our Maintenance Coordinator

Manage general tenant enquiries

Raise purchase orders using our internal property management software system

Responsible for coordinating incoming and outgoing post

Help to manage the key cupboard and maintain accurate records, coordinating with maintenance staff and the property team

Accept rental payments from tenants

Maintain and update the central lettings spreadsheet

Order stationery

Document management and lease scanning where required

The hours of work will be 2 days a week, 9am - 5pm or 8.00am - 4.00pm, £21 - £23 pro rata, £10 - £12 per hour.
