An exciting opportunity has arisen to be part of a Charity Trust which works with a world leading global FMCG organisation. We are currently looking for a Scholarship Applications Administrator based at the Leverhulme Trust HQ's in London EC4A 3BG. This is a full-time temporary role for a period of 11 months, working a 36.25 hour week. This role is paying up to a maximum £29,000 per annum, pro rata, depending on experience.

MAIN JOB PURPOSE

The Applications Administrator deals with all matters relating to the processing of Outline Research Project Grant applications (the first of a two-stage process), which includes the administration of over 1,000 applications each year, as well as advising potential applicants on eligibility and budgetary issues. The post holder has particular responsibility for and liaises with, the Trust's panel of senior academics, the Advisory Panel, who provide peer review advice on such bids. S/he works closely with the Senior Administrative Officer (grants) on the production of papers for thrice-yearly meetings of the Trust Board, as well as providing general administrative support.

KEY DELIVERABLES/ACCOUNTABILITIES

  • Processing Outline applications; this includes data entry and correspondence with applicants, referees, the Advisory Panel and committees.
  • Advising potential applicants about eligibility issues and providing budgetary advice.
  • Assisting with the preparation and co-ordination of papers for meetings of the Trust Board three times a year; for the Major Research Fellowships Panel (once a year) and the Advisory Panel (as directed).
  • General office duties; answering the telephone, emailing, filing, photocopying.
  • Assisting with other office duties as and when necessary.

KEY RESPONSIBILITIES

  • Process Outline applications received by the Trust for the Research Project Grants scheme.
  • Assign Outline bids to the relevant subject/discipline specialist for initial review.
  • Monitor Outline applications as they progress through to the detailed application stage ensuring deadlines are met.
  • Match Outline applications and detailed bids as they are received, creating folders and ensuring paperwork is correctly filed for each grant round.
  • Collate and file reports from peer review experts during the detailed application stage and updating the tracking system on a daily basis.
  • Put through applications to the Assistant Director for review or re-referencing.
  • Assist with the preparation, scanning and collation of papers for meetings of the Trust Board and Major Research Fellowships award panel.
  • Respond to telephone and email enquiries and offer advice to potential and existing applicants.
  • Provide cover for some activities in the absence of the Senior Administrative Officer.

COMMUNICATION

  • Daily contact with the academic community in the form of both email and telephone queries. It is essential that the post holder is able to communicate courteously and effectively with individuals at all levels.
  • Regular contact with members of the Advisory Panel, a group of 35 senior academics who provide initial assessment on outline applications made to the Trust.
  • Daily use of Grant Tracker, a grant management system used by the Trust for all grant and Fellowship schemes.
  • Use of Board Packs, an IT system for meeting papers used for Trust Board and other funding committee meetings of the Trust.
  • Provision of status information and statistical data for senior colleagues, as required.

Experience and skills

Educated to a at least A level standard, with a high standard of English and competence at drafting correspondence

At least 18 months experience of working in a busy, office-based environment and experience of working in an educational or research environment and with an interest in higher education issues

Excellent working knowledge of Office IT systems such as Outlook, Word and Excel

Excellent communication skills, both verbal and written, and the ability to communicate complex issues with clarity, fluency and accuracy

Good numeracy skills, including the ability to produce statistical data and interpret financial information, such as application budgets

Clarity of purpose and analytical thinking with the ability to break down a problem and reach logical conclusions

Excellent interpersonal skills with a proactive, friendly and flexible approach

The ability to respond to queries with speed and accuracy

Ability to work flexibly and as part of a small team, as well as independently with minimal supervision

Able to plan, prioritise and manage own workload, dealing with a variety of tasks and a demanding workload, at times under pressure

Motivated to achieve high standards of accuracy and excellent attention to detail
