An exciting opportunity has arisen to join a world leading global organisation. Our client, a blue chip IT company, is currently seeking a Personal Assistant to the Executive Manager based on our client site in Bracknell This is a full-time, temporary role for a period of 2 years, Monday to Friday, 37.5 hours per week, to start ASAP. The role is paying between £33,150.00 per annum.

You will be expected to act as an Ambassador for the Executives at all times and ensure values are upheld to both external and internal contacts through appropriate behaviour and performance. Strict confidentiality is key as is the ability to work collaboratively with the leadership and management teams.

Personal authority and proactivity are fundamental in this role; helping to keep the executives on the front foot - responsiveness to emails, planning for customer engagements and keeping up to date with the use of technology are all expected. Building strong relationships with the other executive/administration and ensuring a sense of community is created and professional standards are adhered to. You will be expected to ensure employee engagement with proactive reminders for birthdays, Christmas cards, long service, retirements, thank you/acknowledgements etc. The small things make a difference.

Keeping up to date on the application and knowledge of in-house processes, tools and policies whilst complying and promoting Sales Process and Business Practice is essential.

Role description

You will be required to undertake (but not be restricted to) the following activities as part of the role:

  • Performing tactical and strategic administrative support tasks for executive level employees
  • Scheduling executive appointments and meetings, calendar maintenance
  • Answering/screening/routing emails and telephone calls
  • Making travel arrangements and preparing comprehensive travel itineraries, and preparing expense reports
  • Coordinating hospitality
  • Taking ownership for obtaining relevant approvals
  • Working on multiple priorities/projects
  • Providing support to other admin assistants where necessary.
  • Providing limited tactical administrative support to the Manager's direct reports

Skills and experience

The successful candidate must have:

  • Typically requires a minimum of 3+ years administrative experience in an Exec Support role
  • Demonstrable experience working with multiple issues/projects/teams and have the experience/ability to support multiple project/executive administrative requirements.
  • Prior experience as a key administrative employee.
  • Competence on key computer/software programmes in particular Excel, Word Powerpoint
  • Personal authority - being accountable for getting things done to a high standard both on their own and with others, being collaborative in their approach and the ability to delegate where appropriate
  • The ability to work under pressure on multiple tasks - a flexible approach is essential to accommodate the various demands of the role
  • Excellent verbal and written communication skills
  • A positive can-do attitude
