Due to expansion our well established client is looking for a Property Administrator to join their office in Rayleigh, Essex.

This is a support role to the property department with various administrative duties. Working directly for the Property team on a day to day basis, you will also help and support the Head of Property services in compiling reports required for monthly meetings.


DUTIES AND RESPONSIBILITIES:

Property Department Procedures

  • Administration of the property department, ensuring all records are maintained in line with company procedures
  • Liaise with local managers and ensure defects reported are logged onto the system correctly
  • Once all inspections and defects are logged onto CCMS system, regularly keep updated and send reminders where applicable
  • Release landlord defects daily and administrative responses
  • Follow up on completed jobs with landlords and contractors that need to be completed on the system
  • Answering daily telephone calls, emails and daily enquiries from local managers or landlords
  • Dealing with claw back queries and resolution following the company process
  • Receive calls from local managers and recording emergency defects

Administration for the Property Department

  • To provide admin cover when necessary to include daily updates of the system
  • Maintain and update all spreadsheets to include but not limited to; Section 21 and bail orders, inspections and defects reporting, SU fault defects, clean and clear reports, certifications and licensing database

Communication and Liaison

  • All communications must be kept up-to-date (i.e. emails/messages/telephone calls)
  • Communicate with external suppliers as required
  • Liaise closely with line manager, team members and other teams
  • Ensure all records are maintained and kept up to date according to company policies and procedures
  • Liaise with field based staff and other group offices

Team working

  • Liaise regularly with line manager and team members
  • Help/provide cover for other team members as required
  • Attend team and other staff meetings
  • Support new team members and provide on-the-job training
  • Provide cover for other staff as agreed by line manager

REQUIRED SKILLS:

  • Previous administration experience working in a property, housing, repairs or maintenance department
  • Highly organised with good attention to detail
  • Good communication skills both verbal and written
  • Excellent customer service skills
  • Able to work independently or as part of a team
  • Good computer skills including Microsoft Office packages (Word, Excel and Outlook)

In return, you will benefit from 20 days holiday increasing to 25 days with service, pension and life insurance.

Hours: Mon-Fri 40 hours per week 8.30am-5pm
Salary: £18,000
