Our client, one of the UK's leading energy providers based in Barnwood, Gloucester is looking to recruit an experienced PA to provide Assistance and Admin support to the head of Executive Support. This is a part time role of 30 hours per week and the successful candidate will be working for Manpower at the client site on a temporary ongoing contract.

Overview

To provide proactive and coherent organisational assistance to the head of executive support in order to optimise efficiency. Provides a professional interface between the head of executive support and their department, the company and all external individuals and agencies. Performs various duties of a responsible and confidential nature, often to tight deadlines. Maintains confidential information and files and effectively organises and expedites the flow of work through the manager's office.

Nature and scope


  • The nature of the relationship between head of executive support, head of functions and the PA demands exceptional levels of trust and confidence to protect the integrity of the senior manager.


  • The individual will have minimal supervision on a day to day basis. They are required to take initiative to ensure that tasks are met within acceptable timeframes.


  • Any confidential and or sensitive information which the PA comes across must be treated respectfully and with integrity.


  • Key interfaces must be managed to ensure the smooth operational running of the manager's office.


  • The individual will be required to provide administrative support to the wider executive support team on an adhoc basis.

  • Principal Accountabilities


  • Communicates instructions or desires to the immediate business or other department / individuals, obtains information from Directors and Senior Managers, initiating follow up action as required.


  • Receives and screens emails, telephone calls, letters and / or visitors. Answer routine questions and provides information.


  • Schedules appointments and makes arrangements for meetings, conferences and travel for the head of executive support.


  • Assists with the maintenance of the Generation Executive team and Nuclear Generation management team diary appointments and makes arrangements for meetings and conferences.


  • Assists with the production and communication of meeting packs for the Generation Executive team and Nuclear Generation management teams.


  • Deputises for low grade decision making, where appropriate or necessary.


  • Organises and maintains confidential files of correspondence and records, following up on pending matters.


  • Routes or answers routine correspondence not requiring managers attention and effectively prioritises responses in a timely manner.


  • Prepares routine letters and other correspondence.


  • Attends meetings as and when required to perform minute taking.


  • Looks for opportunities to devise / improve upon existing systems for the effective function of the office.

  • Skills and qualifications


  • Office management; has the ability to identify own limits of responsibility when replying to, signing off and redirecting correspondence in the absence of the Head of executive support.


  • Organisational Skills; has the ability to organise complex events taking into account business and personal priorities and best use of the head of executive supports time.


  • Influencing skills; has the ability to make things happen and get results without alienating others.


  • People skills; maintains high level of mutual trust with the Head of executive support, regularly liaises professionally with senior managers and key high profile external stakeholders.


  • IT Skill; has the ability to effectively use Microsoft office products (Outlook, Word, PowerPoint, SharePoint) and Adobe Professional.


  • Communication skills: responsible for disseminating all staff emails, acts on / manages telephone calls has delegated authority to undertake responsibility for ensuring actions have been completed on behalf of head of executive support.


  • Good quality English language and excellent written communication skills, with a good understanding of English grammar and attention to detail.

  • Previous experience

    Proof of excellent organisational skills: be able to priorities and enjoy working in a team environment as well as on their own.

    Be able to demonstrate problem solving skills, taking initiative, strong interpersonal skills, diplomacy and be comfortable working in a confidential and trade unionised environment.
