Occupational Health Hub Administrator

We are recruiting a full time Occupational Health Administrator to join our client, one of the UK's leading energy suppliers, based in Barnwood, Gloucester. This 6 month role is to support the existing OH Clinical Team, by co-ordinating and performing all aspects of administration work required to ensure the successful running of the central OH service.

Duties and key responsibilities

  • Completion of all work to a high standard within required time limits
  • Co-ordination and maintenance of diaries/appointments for clinical staff including physiotherapy
  • Assist in the production of OH monthly reports and statistics and presentations
  • Assist in auditing clinical note input onto Gateway
  • Taking meeting notes and producing minutes e.g. OH Team Management Meeting
  • General admin including the uploading of clinical notes
  • Support OHP clinics including sending appointments, scanning and uploading information on behalf of the CMO /OHP
  • Liaise with on-boarding re ER / new starters / Drugs & Alcohol testing requirements
  • Print and send medical records to solicitors / PMO Archiving of records
  • Destruction of records with OHA guidance
  • General OH queries - email / face to face
  • Maintenance of own computer files and emails
  • Taking telephone messages
  • Reception duties including general site OH department
  • Additional administrative duties for clinical staff as and when required
  • Use of multiple databases and internet systems for recording of stats
  • Monitor and answer the central OH mailbox

Qualifications and essential skills required

  • 5 x Standard GCSE grades
  • Previous administration experience in a similar environment
  • Possess excellent PC and software skills and abilities, mainly Word, Excel, Power Point, and Outlook
  • High level of professionalism to be demonstrated at all times
  • Attention to detail and the ability to prioritise a vast workload are critical
  • Be self-motivated and demonstrate ability to work using their own initiative
  • Good customer service skills as majority of role involves liaising with clients
  • Work as part of the OH team with health professionals
  • Communicate with all levels of staff and demonstrate good customer engagement skills
  • Demonstrate excellent interpersonal skills & discretion on confidential medical matters over the telephone, via e-mail and with face to face interaction
  • Excellent time management

Desirable skills

  • Experience of working within a clinical environment, preferably Occupational Health
  • Commercially aware
  • Experience of handling of sensitive and confidential data
