Manpower are recruiting for a temporary administrator to work on an assignment for the faculty of medicine health (part of the University of Leeds) based on site at St.James hospital in Leeds.

As an Administrator your main duties will include:

  • Providing a consistent high quality and professional service to resolve or redirect day-to-day enquiries and requests to the School, both in person and via email and telephone, disseminating information in a timely and effective manner to other staff, students, members of the public and other external partners including international collaborators and organisations;
  • Providing comprehensive day to day support, as requested, for Professors, Head of Division, all Oral Biology staff and students, and the School's Research and Innovation Directorate;
  • Electronic maintenance of the Division's annual leave and sickness records for staff and students;
  • Management of diaries and travel arrangements for appropriate staff and students;
  • Production of appropriate agendas, minutes and action notes arising from meetings;
  • Arrangement of study days, conferences and other events as required;
  • Providing a first point of contact in the Division of Oral Biology to ensure the School's high profile, integrity and quality through good customer care practices is maintained;
  • Undertaking all administrative duties associated with supporting the progression of Postgraduate Students;
  • Providing organisational support for formal Undergraduate and Postgraduate meetings;
  • Undertaking purchasing and goods receipting of orders in accordance with the University's Financial Regulations and procedures, including co-ordination of shipping and receiving of dangerous goods;
  • Maintaining accurate records of the Division's inventory;
  • Providing administrative support for the organisation of the School's Research Seminars;
  • Working with the Research and Innovation Officer to provide administrative support for School recruitment of PhD students, assisting with scholarship processes, coordinating project proposals, external adverts and selection of candidates;
  • Working with the Research and Innovation Officer to manage local Postgraduate Research Student databases in line with the Faculty Graduate School to share and ensure the capture of accurate information;
  • Working with the Research and Innovation Officer and Manager to coordinate School Research and Innovation activities at national and international level e.g. large scale international research conferences;
  • Working with the Research and Innovation Officer and Manager to update and maintain the Research and Innovation pages on the School's website e.g. research profiles, news items etc;
  • Providing support to the School's Skeletal Tissues Research Tissue Bank and working closely with the Person Designated who oversees the bank;
  • Establishing and maintaining positive interpersonal relationships with other staff and providing assistance / secretarial cover as necessary to colleagues;
  • Demonstrating a commitment to own personal development within the post.

This role is initially a three month assignment which could be extended for the right candidate.

Please note that there is no on site parking at the hospital and this is a full time 9-5 role.
