An exciting opportunity has arisen to join a world leading global organisation, our client Leading Global FMCG company with Brands such as Dove, Knorr, Persil & Magnum are currently looking for a Company Secretary/Board Support Manager based at their prestigious facility in Blackfriars. This is a full-time temporary role for a period of approx. 12 months, working a 36.25 hour week. This role is paying up to £50,000 per annum, pro rata, depending on experience.

KEY RESPONSIBILITIES:

  • Working as part of a small team in the CEO Office, with specific responsibility to ensure the smooth and efficient planning and execution of the Leadership Executive (ULE), Board programme and Senior Leadership Forums
  • Scheduling of the Executive and Board programmes (events) within the coming one to two year period
  • Line manage Logistics support for CEO Office and Board Support
  • Liaise with finance to oversee the budget for the team, including processing Purchase Order process, one off and manual payments as needed
  • Support to Head of CEO Office
  • Seeking efficiencies in terms of ways of working, systems and processes whilst maintaining a high standard

BOARD PROGRAMME:

  • Proactively plan, Board programme and events locally and abroad
  • Liaise with CEO, Senior Management, Logistics support, IT Support, Corporate Secretaries and all other stakeholders to lead coordination of Board programmes
  • Travel to overseas Board meetings to manage onsite meetings requirements
  • Provision for Board meeting requirements well in advance
  • Develop opportunities for workforce engagement, track delivery against the agreed priorities and report internally
  • Board Visits; liaise with host to plan programme for visits, including briefing
  • Develop good relationships with Board members, anticipate requirements
  • Ensure CEO and Head of CEO Office are fully informed and well briefed for each meeting
  • Line manage team members, operate regular feedback loop and coaching
  • Look for development opportunities for team members, support for personal and team goals
  • Collect feedback from the events and use to shape future programmes

ULE PROGRAMMES:

  • Coordinate the annual Leadership Executive calendar including local and overseas meetings and events, agendas and briefings
  • Tracking and recording of issues, managing priorities and planning agendas
  • Principal point of contact for ULE members with respect to ULE meetings and events
  • Quality check briefings and other material to be submitted to the ULE ensuring relevant material meets requirements - reformatting as necessary - and distributing in a timely manner
  • Management of the secure document portal for ULE including access control, information security, upgrades, penetration testing, etc
  • Ensure the recording and archiving of meetings and decisions meets the highest standards of corporate governance. Keep an archive and procedural audit trail of submissions and decisions, ensuring all formal documentation shared with ULE is retained in the online secure portal
  • Format meeting minutes, process drafts and once approved, send "extracts" as appropriate
  • Maintain files of ULE meeting agendas/minutes for External Auditors
  • Adapt processes as and when needed to deliver dynamic support to ULE, seeking efficiencies in ways of working, whilst maintaining a high level of service
  • Ensure CEO and Head of CEO Office are fully informed and well briefed for each meeting
  • Coordinate the annual Senior Leadership Forums programmes including local and overseas meetings and events, agendas and briefings
  • Act as the principle point of contact for ULE members with respect to Senior Leadership meetings, as well as other leadership meetings and events
  • Ensure CEO and Head of CEO Office are fully informed and well briefed for each meeting

Essential skills/Experience:

  • Excellent planning, organisation and communication skills with ability to work flexibly with a range of different colleagues and third parties
  • C-Suite supporting multiple global members experience is essential
  • Excellent attention to detail: proven track record of delivering high quality and accurate work under pressure
  • Experience of working in cross functional teams within a matrix environment
  • Good team player involved with all aspects of the department
  • Ability listen and to communicate and relate to others on a personal or professional level
  • Ability to connect day to day tasks with the overarching objectives of department and business
  • Candidate must be flexible with regards to working hours. This is a demanding position with a large volume of work - much of it urgent and where failure or default can have serious corporate consequences. The subject matter is often highly confidential and must therefore be handled with care and sensitivity at all times.
