Job Details
We have an opportunity available for an experienced administrator to work at our client site in Birmingham City Centre, Millennium Point/ University House.
Start Date: ASAP
End Date: 31st January 2020
Hours: 37 hours per week, Mon - Fri, 9am to 5pm (can be flexible)
Main activities and responsibilities
Develop and maintain administrative systems to support the activities of the incubator
Review, establish and manage systems and record keeping within the incubator, ensuring information is accessible and retained in an appropriate manner.
Maintain up-to date financial records and assist the Programme Manager in monitoring budgets.
Maintain a detailed calendar of priorities, deadlines and key events and proactively advise on impending deadlines.
Collect and collate data on a variety of topics as required.
Respond to and redirect where necessary internal and external communications (including emails, letters and telephone calls).
Liaise between the Programme Manager, RIE staff, administrative and academic departments and external bodies, ensuring effective communication.
Provide support for a range of formal and informal meetings. Identify agenda items produce and circulate agendas, produce minutes and identify and monitor follow up actions arising.
Collate a range of reports, letters, etc for both internal and external use.
Assist the Programme Manager in undertaking ad hoc projects, working on own initiative to research, prepare and present information as needed.
May be required to supervise administrative/clerical/reception or other support staff.
