Manpower are currently recruiting for a Secretary for a prestigious client based in Birmingham on a part time basis.Duties will include;Act as the unit office clerk. Support unit continuity. Maintain an effective file system and correspondence register in accordance with current policy, recording all correspondence to or from the Unit. Ensure reports and returns are dispatched in a timely manner. Develop an understanding of the Royal Navy working practices in order to liaise effectively with other organisations within the Naval Service. Ensure effective communication of information to staff and Unit members. Assist with the booking of all travel (outside of unit vehicles), utilising HRG where appropriate, for students and staff liaising with CO and Coxswain whenever appropriate. Support to the CO in the maintenance of effective lines of communication with unit affiliates and alumni. Maintain the Unit Diary. Oversee building facilities bookings and associated paperwork. Liaise with other service units, associated bodies within the university fraternity and local community Collate and produce monthly financial returns and forward to CO. Contribute to the organisation of unit functions and events including the unit annual dinner by booking venues, catering, entertainment, preparing guest lists, table plans and sending invitations. Contribute to unit fund verification in accordance with policy. Oversee the management of office publications, machinery and stationery. Administration of all new entry paperwork including application for references, National security Vetting (NSV) and Identification (ID) Cards Suitable candidates will be subject to a DBS clearance and have previous secretarial experience.This is a temporary position starting on the 2nd December, working 28 hours a week paying £9.23 per hour and with a potential of leading to a permanent position for the right candidate.
