Manpower are currently working alongside a large University based in Oxford for a Residential Facilities Co-ordinator to work on 3 sites on a 6-month fixed term contract.

The role is full time working 37.5 Hours per week. This post will be a 5 out of 7 post, predominately Monday to Friday but with increased weekend working over the vacation period and specific University days (e.g. arrival weekends, open days etc.) The role has a starting salary of £27,511. The role is multisite so you must be able to drive to travel between sites.

Experience required for post: Experience of supervision in a hospitality/residential related business. Experience in a customer focused environment.

Overall purpose of Post: To coordinate the operational functionality of the allocated University's Halls of Residences across the accommodation portfolio. To promote a positive student and conference experience. To be part of an on-call rota as part of an escalation process out of hours. To support and represent the Accommodation Operations Manager on all Hall specific matters.

Main Duties:

Operational Management: To provide effective operational coverage for any single or multiple Hall/s of Residence, including:

∙ Ensuring accommodation is cleaned to the standard agreed under the Service Level Statements for student and conference occupation;

∙ Ensuring all maintenance issues are reported in a timely fashion and liaising with residents regarding completion;

∙ Planning and arranging for regular inspections of all residential accommodation for the purpose of checking for damage across sites as required or misuses of facilities, unreported maintenance issues, health and safety checks and for the maintenance of correct standards of cleanliness, hygiene and service provision;

∙ Maintaining and monitoring adequate arrangements for the removal of refuse, ensuring general tidiness of surrounding land and grounds, ensuring safe access and egress to/from the site and buildings at all times;

∙ Monitoring on site security arrangements and implementing the University's Car Parking Policy in conjunction with Campus Services;

∙ Ensuring all signage on site is correct and up to date and complies with appropriate branding guidelines.

∙ To be the sites allocated to this role point of contact for any outsourced services and suppliers, ensuring all specification standards are met;

∙ Control and recording of resources as required.

Quality Management: To be responsible for ensuring all services provided by the Residences to students and conference guests at the sites allocated to the role are of the highest standard, including:

∙ Responsibility for contributing to, implementing and monitoring Service Level Statements with internal and external suppliers and customers;

∙ Responsibility for contributing to and supporting all research and feedback mechanisms to ascertain the requirements and opinions of residents;

∙ Responsible for ensuring and recording/reporting the highest standards of health and safety are always adhered to and that all records are completed and up to date;

∙ Responsibility for supporting the University's sustainable agenda, through recycling, energy management etc.

∙ To be the appointed Health and Safety Officer for a single or multiple designated area/s.

∙ Supporting Hospitality Assured and ensuring all services meet the customer service promise.

Student and Guest liaison: To be responsible for ensuring all guests receive a professional and customer focused experience whilst in Accommodation, including:

∙ Contributing to all students and guests receiving a professional efficient and welcoming arrival experience;

∙ Contributing and liaising to ensure that all students and guests have a 24-hour 7 day a week response service to deal with emergencies and concerns;

∙ Coordinating internal communications to/or for the resident students to receive inclusive provisions such as housekeeping and catering services;

∙ Actively engaging with students and guests including use of relevant social media, with a view to ensuring that they receive the services they require and have paid for to the standard they expect and to respond to any shortfall;

∙ To participate, promote and attend planning meetings and events that are organised for the benefit of student engagement within a hall's environment, and

∙ Actively seek ways to promote positive student behaviour without resorting to disciplinary process.

Administration: To ensure the site locations keep appropriate hard copy and electronic records securely as required by legislation and the University, to include:

∙ Local HR and H&S records, purchasing and finance documentation (including purchase orders raised as required), records of meetings;

∙ Ensuring student and conference records are up to date and accessible as required;

∙ Production of marketing and communication material as applicable;

∙ Provision of a reception service as required responding to the business needs across all sites allocated to the role.

Qualifications required for post: HND/HCIMA or equivalent qualification.
