Operations and Compliance Manager

Job Purpose

The Operations and Compliance Manager is responsible for management of the Vetting team, the full BPSS and Account specific vetting process, and the Programme Administration team who are responsible for the management of contractor extensions and queries.

You will engage with key stakeholders to manage BAU vetting demand, to ensure any changes requested to the vetting process are reviewed by ManpowerGroup compliance and incorporated or rejected as appropriate and escalate issues to the Programme manager.

You will have direct line management of the vetting coordinators and programme administrators for the Compliance (PES) process and procedures including regular reporting and supplier management.

Key Responsibilities

Operational Vetting Management

  • Responsible for developing strong client relationships
  • Full understanding and adherence to the required BPSS compliance and client required onboarding process for all client candidates
  • Continue to develop and refine process improvements for the Vetting team which are agreed with the Operations Manager before implementation
  • Aiding vetting coordinators with escalations
  • Responsible for assisting in training Third Party Supply chain to ensure adherence to required processes
  • Chair / Attend client update calls where required to update on compliance statuses
  • Ensure all confidential data is appropriately stored in line with the ManpowerGroup, GDPR and client policies
  • Ensure that all work is conducted in accordance with ManpowerGroup's values and standards
  • Responsible for maintaining accurate process, work instructions and training documents
  • Overall responsibility for ensuring that all candidates are audited and fully compliant prior to start date with client
  • To audit complex compliance files, liaising with candidates and third-party suppliers to ensure corrective actions are requested, documented and tracked.
  • Responsibility for BPSS compliance case sign off on behalf of Experis
  • Client specific on boarding tasks
  • Ensure all compliance information is always accurate and up to date on compliance tracker and any other systems as required, through progress calls with the team
  • Maintains a positive team environment through an approachable and motivational style, which actively encourages open dialogue within the team

Operational Programme Admin management

  • Full understanding of the VMS on boarding and extension process
  • Mentoring and coaching Programme Admin staff, managing to ensure development through regular one to ones and annual appraisals.
  • Chair weekly extension calls to ascertain progress, identify issues and distribute tasks.
  • Review weekly reporting (produced by the reporting team) to identify data integrity issues and delegate to ensure these are resolved.

Reporting

  • Responsible for (alongside the data analyst and reporting team) creating and maintaining vetting reports.
  • Analysis of work order data to identify errors and help the team member to address them.
  • Ad hoc reporting may be required on occasion.

Team Management

  • Responsible for team management, including performance, development, training, setting and reviewing team objectives, ensure effective knowledge sharing and skills transfer amongst the team
  • Responsible for developing an extremely motivated team-working environment by engendering team spirit.

  • A good people manager with experience in Vetting and compliance environment
  • Able to work with the highest level of discretion and integrity, as the role involves working with a considerable volume of sensitive and personal information
