General job description:

Support of the organisation and management of the language and culture courses, reception and administrative support, library assistance, library inventory checking and updating, support in the organisation and management of cultural events

Tasks and responsibilities

  • Reception of public and students during language courses and cultural events
  • Managing communication - both written and verbal - and provide information as required in a courteous and professional manner, by email, by phone and in person:
  • Checking, filtering and replying to all inbound emails on a timely manner
  • Answering phone calls and welcoming of walk-in public
  • Assisting Director and Admin Office with ad-hoc duties
  • Managing student enrolments and assist the Administration Office to ensure that all payments are registered and accounted for in a correct manner
  • Printing end-of-day batch reports
  • Managing book loans and reminders for overdue items; library inventory checking and updating
  • Administrative and logistic support in the organisation and management of cultural events
  • Preparing flyers and brochures for cultural events and language courses
  • Assisting Admin Office with hotel and taxi reservations
  • Updating website and pages on social network
  • Ensure that waste management services are carried out on a timely manner (weekly disposal and collection)

ESSENTIAL SKILLS:

  • Very good knowledge of English and Italian (Proficiency in at least one of the two languages, preferably native speaker)
  • Good knowledge of Outlook and the Office package

DESIRABLE SKILLS:

  • Experience with video-conferences tools and streaming platforms
  • Experience with graphic design tools (i.e. Adobe InDesign)
  • Experience managing Salesforce or similar CRM
