An exciting new opportunity is available for a Senior Directorate Administrator. This role is temporary on going, could be a permanent placement for the right person. Working Monday to Friday, office hours. This is Headington based without parking, so the right candidate will have access to OX3 via public transport.

Main duties:

  • Manage a team of Administrators to ensure the administrative needs of the Directorate wide portfolio are met, this will include workload planning of the team and liaising with Heads of Departments to confirm administrative support requirements and ensure the ongoing training and development of the team members. Carry out regular 1:1s, weekly team meetings and annual Performance Development Reviews (including the management of staff performance), manage the sickness records and process of line reports as required.

  • Provide comprehensive professional support to the ECS senior leadership team and Heads of Department of the directorate team including cover for the Executive Assistant to the Director of Estates and Campus Services. This includes diary management and organisation meetings/appointments. Provide ad hoc admin support of service partners where agreed.

  • Provide personal assistant support to members of the Directorate senior leadership team (including the Director of Sport, Deputy Director of Estates, Deputy Director of Campus & Commercial Services, Deputy Director of Strategic Projects, Assistant Director Corporate Property Management, Assistant Director Strategic Programme Management and Head of ECS Finance & Capital Reporting ensuring that support is provided in the form of diary management, meeting administration (including minutes and report coordination), and preparing/editing reports as required on the SLT's behalf to help reduce the burden of administrative tasks from senior managers.

  • Where necessary, act as secretary to any directorate, departmental, project boards and other relevant committees chaired by the member of the directorate team including agenda preparation, formal minute taking, ensuring identified actions are progressed and tracked to ensure that they are resolved satisfactorily. Provide secretarial support of Estates Project Panel Meetings and the Estates Programme Steering Board Meetings including the circulation of the agenda and papers; minute taking and following up on actions.

  • Provide project administration support where deemed required.

  • Cover OneLook permit to work systems access administration duties where required and adopt master user status and possess the ability to train others in the use of the system.

Experience required for post:

You will have a wide range of administrative and personal assistant skills gained in a professional office environment including working autonomously, handling sensitive information, and the ability to prioritise and handle competing tasks. The successful candidate will be a customer-focused individual capable of working with all levels of people, and organisations. The post holder(s) should have excellent IT skills including: word processing, spreadsheets, email, scheduling and databases. Google Suite experience is an advantage. The post holder will also liaise with a wide range of people and it is essential that they possess outstanding interpersonal and diplomatic skills to represent the client in a professional and courteous manner.

The successful candidate will have significant experience of people management in a customer

service focussed environment and be able to evidence effective workload planning to achieve objectives and an ability to improve processes and procedures to maximise efficiency.

Overall purpose of post:

Leading a team of Administrators to provide comprehensive support across the Directorate teams which currently include: Campus Services; Commercial Services; Environmental Sustainability; Estates, Residential Services; Service Desk; Space Planning, Sports; and Sustainable Travel. The Senior Directorate Administrator will be responsible for the workload planning of the pooled Administrators and ongoing training and development of this team, whilst providing personal assistant services to members of SLT.
