Job Title: Project Manager- Space Planning


THE ROLE

Seeking a highly-motivated, organised and capable individual to act as an Assistant Project Manager working on space management and planning projects within the Property team. The Client have a wide range of space management programmes across the entire property portfolio. The Assistant Project Manager is involved in all aspects of space planning projects, including utilisation surveys, requirements gathering, solution investigation, business cases, through handover to Capital Projects for implementation and post-project evaluation.


JOB PURPOSE:

To support the planning and delivery of all space management programmes, space planning projects and major change initiatives typically in the £5k - £30m+ value range. The role will incorporate providing support to the Space Management and Planning team to ensure the effective day-to-day administration of the projects, co-ordination across project workstreams and providing support to the programme manager in the data collection, development of solutions, stakeholder management and monitoring progress in order to achieve timely and high quality outcomes.


KEY JOB DIMENSIONS

Professional Requirements: Graduate, ideally in a property, building or estates-related discipline and ideally working towards a professional qualification. The postholder must have knowledge of the management of property or construction projects and be able to analyse complex numerical and qualitative data in order to feedback findings in a concise and constructive manner.

Organisational Responsibility: To support and advise the Project Director, Programme Manager and Space Planner for the scheme in line with Clients governing objectives so as to achieve long term best value for the benefit of patients, staff and clinical service.


RESPONSIBILITIES

Space Planning

To provide support to the Space Planner, Programme Manager and Project Director with the overall project management of space planning projects, including scheme programme, cost and quality.

To liaise with the Client's clinical and operational teams, the project team, Estates team and other technical consultants as required, to organise the development of solutions in relation to the submitted space requests or major change initiatives.

To respond to specific requests for information from users, key stakeholders and the project team, liaising with Trust clinical teams, Estates and Facilities, IT services and others to provide the required information.

To liaise with the Client's CAD Manager and facilitate drawings distribution on request or for the purpose of space planning projects.

To manage the Client's Space Request online platform. This will include checking the requests compliance, downloading and filing, updating the demand tracker, liaising with requestors in relation to any logistics issues with the e-form and resolving these with the external technical support.

To undertake occupancy and utilisation surveys of clinical and non-clinical areas for the purpose of space management or specific space planning project. To record and file data per the agreed standards and templates. To coordinate and record changes of occupancy and utilisation, liaising with the CAD Manager for these to be captured on MiCAD.

To assist and coordinate the space handover back to the Client, ensuring that all required documentation is in place and kept on record. To liaise with the Commissioning Team and ensure that spaces are decommissioned per the agreed Client's standards.

To assist and coordinate the space planning projects handover to Capital Projects Team, coordinating the resolution of any space related queries during the implementation phase.

To assist and coordinate any compliance related queries in relation to space management and referring to HTMs, HBNs, statutory requirements and Client's guidance.

To update the Master Delivery Plan in relation to the RFL Group Space Strategy under development.

To research and collect data for the purpose of the RFL and UCL Space Strategies, including estate assets, occupancy, key stakeholders, etc.
