Primary Tasks: Commercial Administration
Maintain commercial trackers and prepare related commercial summaries
Track and file all correspondence with suppliers
Raise Purchase requisitions within SAP to support Commercial Leads and liaise with Purchasing Services for timely raising of POs.
Support development of commercial and ITT documentation
Monitor compliance with project procurement procedures
Support the Commercial Manager and Commercial Leads with adhoc administration activities
Support the Commercial Leads with procurement of goods and services for the packages as required
Responsible for supporting PA/Office Manager for misc. office procurement activities such as stationery, furniture, catering
Primary Tasks: Invoice Administration
Maintain the invoice register, receive, record and receipt invoices
Support the commercial team in invoice review and management
Manage supplier invoice queries
Maintain records of manual payments
Monitor supplier payments and interface with Finance and Accounts Payable departments
Ensure all commercial documentation is filed
Secondary Tasks
Manage internal and external stakeholders in relation to commercial activities
Act as a champion for commercial processes and support the team in understanding and applying them
Ensure all contractual / commercial records are filed and maintained
Contribute to process improvement, share and record lessons learned
SKILLS, EXPERIENCE & QUALIFICATIONS
At least 2 years experience in administration. In a commercial environment desirable
Experience and familiarity with Microsoft Office Excel and SAP
Attention to detail and accuracy
Track record of discretion and maintaining confidentiality
Excellent organisation skills, with an aptitude for planning ahead and prioritising effectively
Ability to establish and maintain good working relationships with contractor companies
Good reporting skills with knowledge of cost/change management.
