Job Details

Responsibilities

  • Oversee and monitor the day-to-day Studio operations and act as the key point of contact for all facilities related escalations
  • You will ensure staff encounter a friendly and professional service daily, that the office is running efficiently and that all employees have the best resources available to them to do their jobs
  • You will assist with all on-site company wide events from well being weeks to themed parties to charity events working with internal stakeholders
  • Manage conference and event setups
  • Maintain a standard of tidiness in Dropbox Studio at all times
  • You will be responsible on all Studio ticket requests from staff
  • Step in to support the front desk where needed
  • Partner with our Head of Facilities and Studio Manager to proactively resolve all maintenance, operations and janitorial issues
  • You will complete regular cleaning audits with external vendors ensuring a high standard of service is maintained at all times
  • Assist with company shipping & mailing
  • Responsibility for creating and answering social posts providing clear and timely communications
  • Develop a strong working relationship with vendor service providers to ensure that all deliverables meet or exceed expectations
  • Ensure quick resolution of any complaints
  • Assist with the compilation of budgets with ability to explain differences between budget and actual spend to manager costs
  • Act as back-up for Operations Business Manager when they are off-site and be confident in doing so

Requirements

  • 1+ years experience in an Office/Facilities/Admin role within a fast-growing organisation
  • Strong communication skills and the ability to work effectively with a spectrum of personalities
  • Understanding of office environments being conscious of impacting culture, productivity and retention
  • Real passion for Dropbox and its products
  • Ability to move quickly and make on-the-spot decisions without sacrificing attention to detail
  • Encourage and develop new ideas and initiatives with the objective of enhancing service levels to be the best in the industry and improving cost efficiency
  • Work in conjunction with our project colleagues to ensure smooth delivery of fit outs, concepts and new builds by providing facilities management and operational support where required to do so
