The Project Support Officer will assist the Safety & Regulation (S&R) Directorate through the delivery of underpinning support activities.

Nature and Scope

  • Support the Regulatory & Licensing team in administrative tasks, such as saving, logging and distributing documentation
  • Source and manage information and data to provide internal and external reporting of SS&A Directorate progress.
  • Act as the secretariat for S&R Governance Meetings.
  • Support and coordinate administrative information for business related process, including project controls (budgets), monthly management reporting and others as required
  • Maintain up to date contract expenditure information including Goods Receipting, raising Purchase Orders and coordinating the interface with the Commercial team.
  • Provide administrative support to business planning including annual, long term budget forecasting and ongoing resource management.
  • Providing administrative support to document storage
  • Support meeting organisation (scheduling, booking & escorting visitors, reserving rooms, organising refreshments)
  • Assist in organising team events.
  • Other business administration tasks as required by Safety & Regulation Directorate.

Principal Accountabilities

  • Provide support to the Safety & Regulation Director, the four Heads of Function and the Regulatory & Licensing team
  • Act as a super user for document management (Teamcenter) systems.
  • Lead on S&R Project Reporting
  • Provide a professional, accurate and reliable support service to S&R Directorate.
  • Set up and maintain records so that information is readily available and easily accessible.
  • Update and ensure all distribution lists are current.
  • Prepare reports and presentations for key stakeholders.
  • Manage plans within S&R Directorate

Knowledge, Skills, Qualifications, Experience

  • General administrative and business support experience.
  • Experience of business finance management and reporting processes.
  • Experience using Microsoft Office.
  • Ability to communicate effectively at all levels of the organisation
  • Strong organisational and administration skills with excellent attention to detail
  • Proven ability to prioritise tasks and meet deadlines
  • Excellent communication/interpersonal skills notably with various levels of the organisation
  • The PSO will often work on their own initiative liaising with internal stakeholders. A proactive approach to work is essential.
