An exciting opportunity has arisen to join one of UK's leading energy company as an administrative assistant working within the Technical Client Organisation. The ideal candidate will have a strong attention to detail and thrive in a dynamic environment. Part time hours of a minimum of 24 hours will be considered as well as full time.

About the role

The admin assistant will support the Group Leaders, Branch Managers and Head of Function with administrative tasks, with some examples below:

  • Head of Function diary management and PA support
  • Support with onboarding of new starters, including organising IT access & equipment, inductions and access
  • Managing and co-ordinating internal and external requests for training to be provided from within Design Authority
  • Admin support for organising function and branch events, including organising meeting invites, booking rooms and arranging logistics
  • Support to facilities management including event room booking, catering and oversight of cupboard usage and allocation
  • Support in producing branch wide and function wide accountability metrics
  • Making travel arrangements for HoF, Branch Managers and groups for UK and overseas trips
  • Maintenance of Function information, such as organisation charts, distribution lists etc
  • Maintaining good working relationships with PAs/Admin of other Functions to assist with diary management
  • Generate communication notes (emails) for cascade to the Branches or Function

Experience

  • Experience working with the Office 365 suite including Teamcenter and SharePoint
  • Minimum intermediate knowledge/skills with working with multiple outlook calendars
  • Minimum intermediate knowledge of creating and working with excel spreadsheets
  • Strong verbal and written communication skills
  • Attention to detail

Our client is looking for support for the equivalent of 3 - 5 days per week approx 24 - 37 hours (to be negotiated with the successful candidate). The role will be based out of the Barnwood office, in Gloucester with flexible working arrangements possible.

Please note, if successful you will be employed by Manpower working on a temporary ongoing basis with scope for extension. Our client is operating a Hybrid working model, therefore the need to be onsite a number of days a week is essential but there is scope to WFH. You will be expected to undertake a drugs and alcohol test as well as be security checked to BPSS Level.
