Working 37.5 hours per week

Monday - Friday, 9:00 to 17:00

Duties & Responsibilities

The post holder will provide administrative support to the Clinical Team Manager and team as well as the assessment and follow up clinics. The main focus of the role is to ensure the effective running of the clinics and ensuring all information is gained and prepared for the clinic as well as communication after assessment. The post will also include day-to-day organisation of systems, to ensure the smooth running of the office, diary and post management, taking and typing minutes and other clerical duties. Additionally, the post holder will facilitate good communication and liaison with patients and their families, colleagues and across other organisations. The post holder will also be responsible for maintaining databases by collecting and inputting of data relating to Team activity and reporting information as necessary.

  • Provide comprehensive administrative support.
  • To work closely with the Clinical Team Manager to ensure all information is gained and prepared for the joint clinic.
  • Maintain effective clinical systems and patient and family centred practices.
  • Provide a communication point for the joint clinic, handling correspondence, including incoming and outgoing mail, and receiving and directing telephone calls appropriately.
  • Provide a polite and well-informed reception service for all staff and visitors when required.
  • Provide a focal point of contact for all users of the Team base and liaise appropriately with security, estates, facilities and external contractors when required.
  • Manage data collection processes, including maintenance of existing databases and spreadsheets.
  • Arrange meetings for members of the team. This will include liaison with internal departments and external agencies, arranging room bookings.
  • Provide diary management on behalf of the Clinical Team Manager and any other member of the clinic as necessary.
  • Copy and audio typing, general and clinical correspondence, reports, minutes, and appointments.
  • Ensure that records are maintained appropriately, including filing, CPA documentation, correspondence are up to date.
  • Maintain referrals systems as required and ensure that appointments and wait times are compliant with National and Trust policies.
  • Attend and/or arrange meetings as required, compiling agendas, minutes and any follow up actions as necessary.
  • Oversee the Work Force Management System
  • Support with induction and training of other members of the team, including other administrators
