We are looking for a Personal Assistant to collaborate with our Mission Systems Directors to be the supportive force that enables our senior leadership.

The difference our new Personal Assistant will make
Babcock Mission Systems is transforming, we need you to provide support to our Mission Systems Directors, by anticipating their needs, planning and orchestrating their schedules to ensure priorities are met.

This role is for someone for whom collaboration and working in partnership comes naturally. Capable of staying calm in the face of pressure, keeping things running smooth and efficient. As part of a small but highly effective team, you'll role model our behaviours making a positive impact on those around you.

Primary Responsibilities
* Coordinating complex schedules by managing diaries, organising meetings and appointments.
* Booking and arranging travel, transport and accommodation, processing expenses in timely manner.
* Compiling and preparing reports, presentations and correspondence.
* Supporting our Executive Operations Manager by providing administrative support to Office of our Managing Director, including dealing with incoming emails as part of shared mailbox.
* Assisting with organising and running of our internal employee events and ad-hoc projects.

Who we're looking for
Someone who is an instinctive organiser with great communication skills and meticulous attention to detail. Maintaining professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business.

Experience
* Significant experience as a Personal Assistant or within a senior support role.
* Experience of coordinating schedules: including travel arrangement, expenses processing and calendar management.
* Demonstrated ability to work under pressure and to tight deadlines.
Experience of executing and improving internal administration processes.

Skills and attributes
* Proficient in Microsoft Office suite, Adobe Acrobat and other office productivity tools, with aptitude to dynamically learn new software and systems.
* Attention to detail and problem-solving mind-set, with good written and verbal communication skills.
* Excellent time management skills and ability to multi-task and prioritise work.
* Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge.

Education and qualifications
* Secondary education or equivalent experience in industry.
