JOB PURPOSE/SUMMARY

Initially, the successful candidate will primarily be responsible for the coordination of the Staff Bank administrative team and Part of the Recruitment Team.

You will be required to effectively support the Workforce & OD Directorate and the Staff Bank and Recruitment teams to represent Directorate services offered and delivered to Care Groups and Corporate Services. Coordinate team activities to effectively support the day to day operation of the Staff Bank and Recruitment Service. Work with appropriate managers to ensure satisfactory outcomes for Care Groups and Corporate Services with regard to bank, agency and recruitment activity and queries.

DIMENSIONS OF THE JOB

Coordination of the provision of the Staff Bank and Recruitment service to Care Groups and Corporate Services across the Trust in accordance with NHS Employers Standards and NHSI rules.

Advisor for Care Groups on Recruitment

Day to day supervision of an administrative team.

Required to travel to all sites within the Trust

Develop a detailed level of knowledge relating to Medical Staffing

Support the Staff Bank and Recruitment Team Leader in the day to day provision of the service.

MAIN DUTIES AND RESPONSIBILITIES

  • Coordination of the bank admin team, the primary focus of which is to efficiently and effectively source bank and agency workers in line with NHSI rules and NHS Pre Employment check standards.

  • Coordinate the resolution of complaints and incidents relating to bank and agency workers seeking advice from the Staff Bank Team leader, Recruitment Manager and Staff Bank and Recruitment Manager where appropriate.

  • Provide expert advice and training to Trust colleagues in the use of electronic bank, agency and rostering systems.

  • Produce accurate data reports relating to the use of bank and agency workers in the Trust.

  • Produce accurate data reports relating to the Recruitment of the Trust

  • Coordinate the production of the weekly NHSI bank and agency report.

  • Line Management

  • Support the recruitment of workers in line with NHS pre employment check standards.

  • Develop and maintain working instructions to support the activities of the team.

  • Resolve queries via telephone and emails from ward, department and appointing managers.

  • Be a key point of contact for Care Groups and Corporate Services for Recruitment, Bank and Agency Workers

  • Contributing to the on-going development of the Staff Bank and Recruitment Service, helping to develop new systems and processes.

  • Provide a primary point of contact for staffing agencies.

  • To act independently within Trust policies and procedures escalating matters to the Staff Bank Team Leader when appropriate.

  • Supervising and allocating the work of the Staff Bank and Recruitment Administrative Team.

  • Complete team appraisals.

  • Ensure effective management of core essential training requirements and monitoring for Temporary Workers

  • Developing and assisting in the maintenance of both manual and electronic personnel filing systems ensuring efficient collation, confidential storage and retrieval of information.

  • Other such duties as may be determined from time to time by the Recruitment and Staff Bank Manager/Team Leaders.

ESSENTIAL KNOWLEDGE, QUALIFICATIONS, SKILLS, AND EXPERIENCE REQUIRED

  • Minimum 5 GCSE (Grade C) or equivalent qualification including Maths and English Language, or equivalent knowledge gained through work experience
  • ITQ / ECDL or other recognised IT Qualification or equivalent knowledge gained through work experience
  • Certificate in Personnel Practice or equivalent competence/ knowledge and / or NVQ Level 4
  • In depth knowledge of Data Protection Act and Information Governance standards
  • In depth Knowledge and experience of ESR
  • Knowledge experience of using Word, Excel, Outlook, PowerPoint with excellent Keyboard skills
