Our client, one of the UK's leading energy providers, is looking for a Management Secretary to provide secretarial and PA support to The Station Management Team at their Power Station. This position is a part time position for 22.5 hours per week, working over 3 days.

Nature and Scope

The role of Management Secretary is to provide the station with suitably qualified and experienced resource in pursuing excellence within the field of Secretarial and PA support. The team member operates within priorities, objectives and areas established by the team leader.

Principal Accountabilities

  • Arrange meetings as required and forward plans/chase actions and tasks required for meeting deadlines
  • Produce reports/papers (technical/non-technical), combining information from more than one source
  • Prepare presentation material
  • Produce and circulate meeting minutes/notes
  • Transcribe/take dictation
  • Establishes and maintain filing systems/records (hard and electronic copies) - updating and modifying as appropriate
  • Undertake responsibility for maintaining a centralised document/filing system at departmental level
  • Maintain and safeguard security of personal and confidential information
  • Assess incoming correspondence, replying or redirecting as appropriate
  • Ensure correct authorisation for approval of standard documentation and procedures (e.g Expenses, T&S, Excess Hours, etc)
  • Oversee appropriate budgets where required
  • Coordinate senior team meetings and ensures relevant papers are prepared and if necessary take minutes
  • Liaise regularly with senior contacts to ensure Managers are informed of issues or developments that may require their attention
  • Liaises with internal and external stakeholders in order to make satisfactory arrangements under minimal supervision
  • Prioritise and respond to requests for admin support at short notice
  • Maintain filing and distribution lists and records (hard and electronic copies). Maintaining/updating and modifying as appropriate

Knowledge, Skills, Qualifications, Experience

  • Proficient in Asset Management Suite (AMS), Document Management, Action Tracking, Records Track, CAP
  • Proficient in CDMS
  • Proficient in Microsoft Office Word, Excel, PowerPoint
  • Proficient in document reporting tools (there should be sufficient team members to meet the business need)
  • Has a working knowledge of documentation and record management systems
  • Has strong relationship building and interpersonal skills
  • GCSE/National Qualification standards (or equivalent) which should include English and Mathematics

If successful, you will be employed by Manpower working on a temporary assignment at our client's site and will need to undergo BPSS checks as well as a drug & alcohol test.
