I am delighted to be recruiting for our national client based between - Peterborough PE3 and Huntingdon PE29 for a Receptionist / Appointments booking clerk.

Pay rate - £9.50 ph

Role summary

To ensure that the highest standards of customer service is carried out ensuring the smooth flow of patients through the hospital whilst carrying out administrative, reception and navigation duties. To act as the first point of contact for patients, visitors and staff, providing an efficient reception service, projecting a professional, helpful manner. Providing a high level of administrative support within a busy treatment centre environment, whilst projecting a professional, helpful manner ensuring complete confidentiality at all times.

Key Responsibilities

  • To receive all patients attending the clinic, in a welcoming manner - acting as an ambassador for the hospital
  • Update any patient information as necessary including GP details, addresses, mobile numbers, checking the NHS National Summary Care Record (SCR) for demographic and residency details
  • Electronically arrive patients on the computerised tracking system and navigate to relevant area of the Treatment Centre
  • Update Trust IT systems eg. E-Track, Somerset, PAS, Ecamis as required
  • To process requests for interpreters and /or Hospital transportation services
  • To participate as a member of the team liaising with the public and hospital staff in all areas on a daily basis, ensuring a positive patient experience
  • Participate in all initiatives within the department to improve working practices
  • Navigate the patients to the clinical area using the electronic tracking system, working very closely with the nursing and clinical staff to ensure the smooth flow of patients for outpatients clinics
  • Manage clinic and book appointments using the computerised Patient Administration System (PAS). E-Track
  • Distribute forms relating to external surveys to patients
  • To answer questions from patients and colleagues from within the department and other departments in a pleasant and helpful manner, demonstrating good customer care skills
  • Pass all medical case notes of patients that 'Did not Attend', cancellations and late arrivals to clinician / nurse for assessment and action as appropriate
  • Keep patients informed of any delay by updating the electronic tracking system
  • Support and uphold good team work

Full training and ongoing support will be provided

You will be required to

  • Read and acknowledge procedure changes for booking to specific clinics and specialities/clinicians
  • Deal with telephone calls, patient video service, voice-mail, email and face to face enquires in a professional and informative manner
  • Attend staff meetings as scheduled
  • Maintain communication links with other departments, wards, etc
  • Inform line manager of problems / issues on a daily basis following the department escalation process

For this role you will ideally have

  • Excellent customer service skills
  • Provide of GCSE's held for Maths & English
  • Proven experience of meeting regular targets and deadlines
  • Knowledge & understanding of Data Protection, Patient confidentiality & Information Governance
  • Knowledge of Microsoft Office products including excel, work and outlook
  • Good verbal and written communication skills
  • Able to liaise with patients, carers, visitors, trust staff and various external organisation's eg -GP surgeries, police etc
  • Operate effectively as part of the team and maintain effective working relationships with a wide range of staff
  • Ability to work on own initiative, innovate, be proactive and work unsupervised
  • Motivated with ability to meet set targets often working under pressure
  • Awareness & respect for colleagues, patients and relatives cultural, religious, and emotional needs and beliefs
  • Be able to work across sites as and when required
  • Good attendance record
  • Professional appearance and behaviour
