An exciting opportunity has arisen to join one of the world's most successful, purpose-led businesses, our client, a leading global FMCG company with Brands such as Dove, Knorr, Persil and Magnum, as a Legal PA. This will involve a mixture of working from home and working from the offices in Blackfriars London (minimum 2 days per week in the offices).

This is a full- time temporary role working a 36.25 hrs per week across 5 days (Monday-Friday), to start ASAP for 12 months, paying up to £50,000 per annum, pro rata, depending on experience.

The Corporate Secretaries Department (CSD) is part of U/L Corporate Centre and reports to the Chief Legal Officer and Group Secretary. This position sits within the London section of CSD, which provides legal advice and ensures that U/L PLC (PLC) and its overseas subsidiaries meets their statutory, regulatory, and best practice requirements within the Company Secretarial and governance fields world-wide.

JOB PURPOSE

The main purpose of the role is to provide a pro-active and world class support to the PLC Deputy Secretary and Corporate Counsel.

This is a fast-paced environment which requires the whole team, including the personal assistant to always provide top level of service.

This role requires a personal assistant who is a self-starter with attention to detail who can anticipate the needs of the business and the leader.

You must be capable of managing your own time flexibly and effectively, juggling a complex diary and travel schedule using excellent judgement in interacting at the highest levels of the company and keeping the PLC Deputy Secretary and Corporate Counsel updated on issues arising in her absence.

RESPONSIBILITIES

This is a mixed PA/para-legal role including:

  • Providing full support to the PLC Deputy Secretary and Corporate Counsel including diary, travel & meeting management across all time zones, travel planning, processing expenses, meeting agenda management, visitor, and event management.
  • Through proactive management, prioritize meetings according to business need and urgency. Ensure PLC Deputy Secretary and Corporate Counsel has the opportunity to prepare and ensure all materials needed for high impact meetings are set and available at the proper times.
  • Dealing with Audit Committee agenda, papers and minutes
  • Managing the process for the collection of quarterly Litigation updates through the litigation tool and liaison with local counsel globally, including administration of the litigation tool
  • Serengeti administration
  • Maintaining email distribution lists and internal and external contacts databases.
  • Communicate and collaborate effectively with the team to anticipate and solve problems before they occur.
  • Organizing meetings for the team (Microsoft Teams).
  • Assisting with budget preparation and management and processing supplier invoices

ALL ABOUT YOU

  • This role requires proven experience and track record of high performance as a Personal Assistant and experience working in in a Company Secretarial Department or Finance Department
  • GradICSA or ACIS will be an advantage.
  • Excellent in Microsoft applications including Outlook, Word, Excel, and ability to quickly acquire new IT skills to utilize key company software and systems; having worked on a Board portal will be an advantage.
  • Understanding of the working environment of a UK listed company, or equivalent, would be an advantage.
  • Experience of liaising with legal advisors and other third-party providers.
  • Experience of liaising in a multinational corporate environment will be an advantage.
  • Ability to work independently.
  • Flexibility, high degree of maturity, self-confidence, and enthusiasm with strong interpersonal skills. Accuracy and speed are essential.
  • Experience in managing office processes is important and where necessary, developing new approaches to meeting changing needs.
