About the role:

Reporting to the Managing Director (MD), the Executive Assistant (EA) will provide a wide range of executive secretarial, administrative, and organisational support services to the Managing Director, Senior team, and the wider business.

Key Requirements

Meetings - organising, preparation of documents, minutes/action recording, coordinating and expediting actions etc
Coordinating submissions for: Reports, Gifts & Hospitality, HSE, Expenses, Visual Leadership Programme (VLP), Documents of Control, Governance, PR and Media releases, Purpose & Principles, Performance & Development Review (PDR), Learning Programmes, Awards, etc
Own and administer: Holidays, Sickness, Organisation Chart and people biographies, Intellectual Property status, post and courier submissions/despatches, office stationery, overseas assignments, statutory submissions such as for Scottish Engineering and ECITB etc
Coordinating and arranging travel and events (overseas and domestic), visitors to office, visa applications, etc
Calendar management for MD and Senior Team
High degree of integrity handling confidential and sensitive information
Other tasks as deemed within capability

What do I need to do the role:

This is a senior role working for the company executive, requiring experience and a thorough understanding of organisational dynamics and the ability to handle issues of high sensitivity

Demonstrate ability to cope with ambiguity and fluidity in opportunity and share relevant level of detail with suppliers (and internal stakeholders) to gain their buy-in to solution design
Strong interpersonal skills demonstrating ability to work with personnel at all levels (internally and externally). Adept at building and maintaining long term, mutually beneficial, relationships
Excellent self-management skills with disciplined motivation; Positive and flexible outlook with a drive for success
Demonstrate high levels of integrity, respect, discretion, flexibility, positive 'can do' attitude, and courtesy with sound cultural awareness
Demonstrate excellent communication skills, effective 'upward management', organisation and planning
Excellent proficiency in Word, Excel, and PowerPoint
Demonstrate sound understanding of company strategy, programmes, products, current projects
Demonstrate commitment to continuous improvement of self, systems, and processes
Excellent written and verbal communications skills
