Job Details

Our client, one of the UK's leading Energy providers is looking to recruit an experienced administrator to support the Occupational Health (OH) Clinical Team at Non NG sites by co-ordinating and performing all aspects of Administration work required to ensure successful running of the central OH service.

Nature & Scope:

  • Experience of handling of sensitive and confidential data
    • Book and arrange routine Fitness for Work medicals, management referral and follow up appointments
    • Keep track of all appointments booked/completed
    • Track through excel spreadsheets and maintain, Fitness For duty records in MyHR
    • Review and book OH admin appointments waiting to be booked in the Company Medical notes system
    • Check all paperwork received for appointments including post details and health questionnaire forms
    • Starters/Leavers - check all employment roles have been updated in Company medical notes system
    • Arrange Medical Annual Calibrations for allocated site
    • Answer general enquiries by telephone, in person and virtually through Teams/Skype
    • Monitor the OH mailbox at allotted time
    • Attend admin meetings with OH clinical staff to ensure diary bookings are appropriate and timely
    • Process Nuffield Health reports as per process
    • Report SLA's updates at weekly hub meeting
    • Chair on rotation weekly admin hub meeting
    • Work in hybrid model in main OH department to receive visitors booked and adhoc to the BWD OH department. This may involve requesting first aid assistance in a medical (first aid) emergency
    • Maintain medical confidentiality at all times
  • Knowledge, Skills, Qualifications & Experience
      • 4 x Standard GCSE grades
      • 2 years administration experience excellent PC and software skills and abilities, mainly Word, Excel, Power Point, and Outlook
      • High level of professionalism to be demonstrated at all times
      • Attention to detail and ability to prioritise workloads
      • Be self-motivated and demonstrate ability to work using their own initiative
      • Good customer service skills as majority of role involves liaising with clients
      • Communicate with all levels of staff and demonstrate good customer engagement skills
      • Demonstrate excellent interpersonal skills & discretion on confidential medical matters over the telephone, via e-mail and with face to face interaction
      Excellent time management
  • Please note; if successful you will be employed by Manpower working on a temporary ongoing basis with scope for extension. Our client are operating a Hybrid working model, therefore the need to be onsite a number of days a week is essential but there is scope to WFH. You will be expected to undertake a drugs and alcohol test as well as be security checked to BPSS and CTC Level.
