The ideal candidate:
- Proficient in MS Office Suite (Word, Excel) and warehouse management systems (WMS).
- Strong Communication skills
Duties and responsibilities
- Serve as the first point of contact for all customers and visitors.
- Allocate visitor badges, deliver safety and induction videos, and provide necessary safety gear.
- Manage the phone system and direct calls appropriately.
- Assist in updating the Quality Management System (QMS).
- Support electronic filing of documents related to safety checks, training, and SOPs.
- Coordinate meeting bookings and manage refreshments.
- Handle outgoing mail and post.
- Act as the customer contact for pre-advice and scheduling of incoming goods.
- Engage with customers on import and export activities to ensure data accuracy and maintain Warehouse Management System (WMS) integrity.
- Generate export orders in WMS and liaise with warehouse staff.
- Monitor Good Manufacturing Practice (GMP) requirements and circulate weekly reports.
- Ensure administrative accuracy where applicable and operate in compliance with SOPs.
- Prepare receipt documents and warehouse reports for incoming goods.
- Document and manage non-conforming or damaged items, including photographing and coordinating with customers.
- Perform other tasks as required.
